We are looking to appoint a full time receptionist to join our busy GP practice who will be the first point of contact for patients, contractors, and visitors as well as carrying out general office management tasks.
You will be responsible for the general reception duties within the Practice and work with our established processes, policies and procedures to provide a comprehensive high quality service and deal efficiently and courteously with patient enquiries.
You will receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
You will provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
You will have excellent communication skills, a compassionate and friendly nature who can operate in a busy environment with a range of people and professions, as you will be working with our clinical and administration teams.
Main duties of the job
To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.
About us
The Practice is conducted from a beautiful purpose built, converted church. We are fortunate to be situated on the Cambrian coast in the town of Aberystwyth which is surrounded by mountains. The Practice area is from approximately Furnace to the North, Llanon to the South and Cwmystwyth to the East. Our team includes six GPs, an ANP, three Practice Nurses, two Health Care Assistant, as well as our Practice Manager, reception, pharmacy technicians and administration staff. We are a training practice and support registrars, medical students, pharmacists and physicians associates.

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels: a. Maintain and monitor the practice appointment system b. Process personal, telephone and e-requests for appointments c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately d. Signpost patients to the correct service e. Initiating contact with and responding to, requests from patients, team members and external agencies f. Clinically code data on Vision clinical system g. Photocopy documentation as required h. Data entry of new and temporary registrations and relevant patient information as required i. Input data into patients healthcare records as necessary j. Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team k. Manage all queries as necessary in an efficient manner l. Carry out system searches as requested m. Maintain a clean, tidy, effective working area at all times n. Monitor and maintain the reception area and notice boards o. Support all clinical staff with general tasks as requested
