Job Description

- Flexible work environment: currently working from home Monday and Friday
- Every Friday afternoon OFF (40 hours per week, Monday to Thursday 8.75 hours per day, Friday 5 hour day).

- Manage and monitor reception area.
- Answer and direct all incoming calls in a prompt, professional and courteous manner.
- Greet all visitors, answer questions, direct to meeting rooms or connect them with staff members.
- Provide information and assistance to clients and customers.
- Open, sort and date stamp incoming mail.
- Coordinate all incoming and outgoing couriers and mail ensuring timely and accurate delivery.
- Transports mail, couriers & documents to and from various districts on campus as required.
- Oversees the operation and maintenance of the courier and postal software, programs and systems.
- Manages and tracks cross boarder deliveries.
- Manage register for the defensive driving program
- Assist with formatting documents as assigned by construction Project Managers.
- Help with pre-qualifications for subcontracts group.
- Order catering, coordinate lunches and other events as assigned.
- Ad hoc data entry as assigned.
- Ad hoc duties as assigned by supervisor.
- Post secondary diploma in Administration.
- Professional communication in person and over the phone.
- Flexibility required in receiving various task ad hoc with tight deadlines.
- Intermediate skills in SharePoint and MS Access.
- Intermediate experience in MS Office.
- Ability to work in a team environment.
- Knowledge of the employees in the organization including: their role, area of expertise and their department.
- Ability to multitask.
- Effectively handle difficult calls and situations.
- Demonstrate a professional image.
- Ability to lift, carry, and move boxes up to 20lbs
