      Serves as the first and last impression and connection to G70. Provides reception support by greeting, assisting, and providing direction and information to clients, visitors, and other guests of the organization. Provides administrative support when needed to other departments and individuals.


      Requirements

      Essential Duties (Major Responsibilities/Activities):

      • Opens and closes front office gates and preps café and conference rooms for the day.
      • Answers, screens, and directs phone calls to the office and/or takes messages.
      • Responsible for responding to and screening office visitors via a video, intercom system.
      • Greets clients, visitors, and guests; determines the purpose of the visit and directs or escorts him or her to the appropriate location.
      • Notifies company personnel of visitor arrival.
      • Offer drinks to visitors and when able, assist with meeting setup, breakdown and cleanup.
      • Monitor the cleanliness and tidiness of the reception, conference rooms, and café areas. Assist with ordering and restocking supplies in all as needed.
      • Maintains security by following procedures.
      • Posts information to company intranet site.
      • Assist with GoToMeeting & web conference software/troubleshooting
      • Maintains employee and department directories.
      • Processes incoming and outgoing mail, faxes, and deliveries.
      • Provides parking directions – understands parking options for guests based on their visit duration and provides appropriate validation to clients and consultants.
      • Monitor and keep track of check-in/out of office equipment such as cameras, pointers, etc.
      • Assist with formatting of documents (MS Word, MS Excel, PowerPoint & PDF).
      • Prepare correspondence and mail outs.
      • Coordination with printing, mailing, and courier services.
      • Maintain deliveries log and notify recipients of package pickup at front desk.
      • Scanning and copying of documents.
      • Coordinate with vendors to schedule lunch and learn presentations for office.
      • Assist with food orders for team and for office events.
      • Support other administrative staff as part of a team.
      • Assists accounting, IT, marketing, and HR departments with various administrative tasks.
      • Filing and Retrieval of hard copies and electronic documents and email (MS Outlook).
      • Information gathering and research via the internet or other methods and summarizing.

      Nonessential Duties:

      • May be asked to lift/carry up to 25 pounds.
      • Other tasks as needed.

      Education/Experience

      • High School diploma and two years minimum experience as a receptionist or assistant performing related duties and tasks; or three or more years of related reception experience and/or training; or equivalent combination of education and experience.

      Technology/Computer Skills

      • Familiarity and comfort with multi-line phone systems.
      • To perform successfully in this position, an individual should be proficient in Microsoft Suite of programs including Outlook, Word, Excel, Power Point in addition to Adobe Acrobat Professional or Bluebeam and/or willing to learn.

      • Basic understanding of reception and clerical procedures and systems.

      • Ability to transition quickly from one project to the next & handle fast paced environment.

      • Ability to read, understand & follow written instructions.
      • Ability to listen and understand information and ideas in verbal instructions.
      • Majority of time will be spent seated at a computer; however, some intermittent walking, standing and use of stairs may also be required.
      • Job may require reaching over head level.


      Pay Range: $19 - $25/hour
