      Description

      1. Demonstrate and encourage positive, polite interactions with people receiving services in a way that does not reflect personal opinions, values or negative emotions.
      2. Take all necessary steps to ensure that the confidentiality and dignity of all people receiving services are maintained at all times.
      3. Interact with co-workers, supervisory and administrative staff in a courteous manner that encourages a positive and cooperative work environment, in addition to talking to Support Coordinators, family members, health care professionals and others in a way that promotes a positive image of the Agency and the people it serves.
      4. Immediately report any emergency situations or potential safety hazards to the supervisor, as well as information obtained that may affect the health, safety and/or services for a person.
      5. Review and comply with all Agency policies, procedures and directives, as well as those issued by the Agency for Persons with Disabilities.
      6. Maintain appropriate dress, good hygiene and professional behavior and conduct that reflects positively on the agency’s mission and the people it serves.

      Essential Duties and Responsibilities:
      1. Greet visitors in a professional manner, determine the nature of their business, have them sign the visitor register and call for their contact to escort them to their destination.2. Handle inquiries from the public regarding agency programs and services.
      3. Answer telephones, screen and direct calls.
      4. Take and relay messages for staff.
      5. Ensure knowledge of staff movements in and out of the agency.
      6. Monitor visitor access and maintain security awareness.
      7. Receive, open, date stamp and distribute all incoming mail. Ensure that all outgoing mail is stamped and sent or taken to the post office.
      8. Coordinate the pick-up and delivery of express and package mail services (FedEx, UPS, etc.)
      9. Print and distribute faxes.
      10. Provide general administrative and clerical support, including copying, faxing, filing and collating.
      11. Maintain the conference room scheduling calendar.
      12. Take payments for services and products.
      13. Order catering for meetings.
      14. Control supply inventory relevant to office supplies.
      15. Track and order office supplies for the agency.
      16. Tidy and maintain the reception area.
      17. Ensure that office machines are kept in good working order and that necessary supplies for the machines are kept in stock.
      18. Load copier with paper, monitor and replenish toner, and educate staff on proper use.
      19. Key in transportation.
      20. Assemble board packets.
      21. Prepare travel vouchers.

      22. Create and print fax cover sheets, memos, correspondence, reports and other documents.
      23. Log incoming checks.
      24. Log payroll and accounts payable checks.

      SALARY: $15 per hour with benefits

      Qualifications


      • High School Diploma or GED
      • Knowledge of administrative and clerical procedures.
      • Proficient in Word and Excel.
      • Knowledge of customer service principles and practices. Customer service oriented.
      • Pleasant, professional personality and appearance.
      • Must be reliable.
      • Must be able organized, have attention to detail and be able to tolerate stress.
      • Must be able to schedule priorities and handle multiple tasks at one time.
      • Must have excellent verbal and written communication skills.
      • Must be able to manage difficult or emotional customer situations calmly and professionally.
      • Must be able to maintain complete confidentiality.
      • Must have the ability to work independently.
