      Description

      We currently have an opening for a Receptionist – Audio Services. This position will be located in Hollywood, CA.

      Position Summary

      The Receptionist – Audio Services is responsible for providing a world-class experience for guests of our Hollywood mixing studio. The Receptionist works in concert with the Senior Operations Manager and hospitality team to ensure each client is provided a wonderful experience from the moment they enter our facility. The Receptionist maintains the daily Deluxe Hollywood Schedule, security protocols, parking requests, badge access and more to help maintain a positive and productive workplace environment for employees and clients alike.

      Primary Responsibilities

      • Receive and process visitors, including vendors and clients, to the studio.

      • Answer and direct phone calls from the main phone line.

      • Issue security badges to new employees, contractors, and temporary staff.

      • Issue temporary badges to employees, visitors, and vendors. Monitor and report use of temporary badges. Track and maintain all badges in excel for security continuity.

      • Resolve security badge issues (lost and damaged badges and access issues).

      • Generate monthly and quarterly badge access reports. Generate ad hoc reports from the badge system.

      • Enforce company security rules, regulations, policies, and procedures.

      • Monitor security cameras and provide security camera footage reports as needed.

      • Respond to emergency situations requiring security assistance. Call Police and/or Fire Department if necessary.

      • Write detailed Incident Reports when required and maintain files. Elevate any and all incidents to the Operation Manager and/or other superiors.

      • Maintain and organize all security/schedule documentation.

      • Send a daily Deluxe Hollywood Schedule based on all OV, Dubbing, Restoration, Co3 and Barco schedules. Send schedule updates as changes occur.

      • Write up Facilities work orders and keep track of their progress, as requested by Senior Operations Manager.

      • Manage reserved parking for visiting clients and talent.

      • Maintain employee and client phone lists. Maintain employee car list. Maintain building key list.

      • Keep front desk and lobby organized/stocked with appropriate supplies.

      • Serve as backup for Hospitality Coordinators to place food orders and provide coffee/breakfast/snack service as needed.

      • Cover hospitality weekend service as needed based on a rotating hospitality coverage calendar.

      • Oversee security guard timecards. Send timecards to Securitas managers on a weekly basis.

      • Oversee Securitas schedule and work with Senior Operations Manager to request additional/special coverage when needed.

      • Day to day management of security guards with direction from the Senior Operations Manager. Provide daily security pass down notes to evening shift guard.

      • Send filming notices, as directed by the Operations Manager to all employees, Co3 contacts and vendor contacts.

      • Oversee vendors: Landsco, Exterminator and Elegant Plantscapes.

      • Change out Scent Air Lobby scent and bathroom scents on a monthly and biweekly schedule.

      • Complete a bi-weekly Covid supply inventory and order supplies as needed.

      • Assist with Co3 Hospitality. Perform Dial Ins for Zoom call sessions. Coordinator with Co3 hospitality team for lunch order and coffee order drop offs to the stage.

      • Assist with vault/shipping deliveries as needed.

      • Assist all departments with tasks/projects that can be accomplished at the front desk.

      • Interface with vendors and Deluxe corporate staff as needed.

      • Other duties as assigned.

      Qualifications

      The ideal candidate will possess the following knowledge, experience, and skill-set:

      • BA or BS degree preferred.

      • Must have strong interpersonal skills. Deal with a variety of personnel including the general public, high-profile clients, and Deluxe employees.

      • Constant mental alertness and attention to detail required while setting priorities and following up on assignments.

      • Must possess strong written and verbal communication skills.

      • Must maintain professional and calm demeanor during high stress situations.

      • Must use initiative and independent judgment within established guidelines.

      • Must prepare typed or written reports and logs.

      • Experience with Microsoft Office including, Outlook, Word, and Excel.

      • Must be able to understand and follow all operating procedures and instructions.

      This role is based in Los Angeles, California and the base pay range for this role is $19.00 - $23.00 per hour. Actual amounts will vary depending on education, skills, experience, and geographic location.
