- Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
- To establish and maintain the filing and administrative systems so that written or computer information is easily accessible and secure
- To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner
- Scan patient-related documents onto their medical record using read codes as agreed by the clinical team
- Forward the document to the doctor or nurse who initiated the referral or who is most appropriate to receive the information
- Ensure incoming letters are scanned daily onto the patient record
- Scan all internal paper documents on to the relevant patients record and then store the documents in line with surgery procedures
- To maintain the computer clinic system in an accurate and secure manner
- To assist with the gathering of statistics and information when required
- Sort and date stamp all incoming patient-related mail Identify relevant clinical information contained in patient correspondence

- Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, in line with Practice protocol
- Handing completed repeat prescriptions to patient and checking names and address
- Take action on clinicians requests for further information/patient contact information etc. (including computerised Practice notes), ensuring completion of all associated paperwork
- Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same
- Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
- Filing and retrieving paperwork
- Ordering and monitoring of stationery and other supplies
- Keeping the practice, notice boards, leaflet etc. tidy and presentable
- Cover sickness/annual leave and work reasonable overtime when required
- Complete other daily/ weekly and monthly core tasks to support to smooth running of the reception area.
- Investor in Carers Lead to administer the Practices responsibilities under the scheme
- Perform any other duties as necessitated by the needs of the Practice
- Undertake statutory and mandatory training as required

Join our established, friendly and supportive practice at Meddygfa Tywi, Nantgaredig. We are looking for a passionate and dedicated Receptionist/Administrator to join our multi-skilled team, who are focused on delivering impeccable service to our patients.
The surgery is open Monday-Friday 08.00-18.30.
Post 1: Days and Hours of work for the 34.5 hours per week are:

Wednesday Day Off
Thursday 08:00 18:00
Friday 09:00 18:30
30 minutes are given for a lunch break.
Main duties of the job
We are looking to appoint a receptionists/administrator to join our busy GP practice who will be the first point of contact for patients, contractors, and visitors as well as carrying out general office administrative and secretarial tasks with our established processes, policies and procedures to provide a comprehensive high quality service and deal efficiently and courteously with patient enquiries.
You will have excellent communication skills, a compassionate and friendly nature who can operate in a busy environment with a range of people and professions, as you will be working our clinical and administration teams.
Your regular duties in this role will be dealing with telephone, post and results in/out-enter details on to computer, practice referrals, scanning, face to face and electronic enquiries, arranging and/or amending patient appointments and home visits, contacting patients to provide information from the clinical team and assisting patients to access our services and those available in the wider community.
This role is ideal for someone who is highly organised and an effective communicator who can provide a professional and warm welcome to our patients, ensuring every contact is of the highest quality.
