      Job summary

      Acle Medical Partnership is a 9 Doctor dispensing practice providing care to approximately 9,500 patients in and around Acle in North Norfolk. We are looking to recruit a Medical Receptionist to provide support to the reception department and to deliver care and support to our patients to ensure they get the best care possible. As part of carrying out this role, the receptionist will be answering phone calls, entering patient data and scheduling patient appointments and home visit appointments. This post requires a kind and caring individual with an eye for detail.

      Main duties of the job

      You are required to work as part of a team to ensure the smooth and efficient running of the surgery to deliver the best possible service to patients. All staff duties relate to this, and all have repercussions on other members of the practice team, it is therefore important to undertake your duties described below in a professional, confidential and efficient manner. There will be other duties that will be added as the practice and the job holder develop.

      Receptionists provide a point of contact for patients and as such are required to be courteous, sympathetic and professional in these dealings. The need to liaise effectively with other health professionals and colleagues is a major requirement of this post.

      Job responsibilities

      To ensure efficiency of appointment system and monitor flow of patients into consulting rooms.

      Ensure that patients without appointments but who need urgent consultation are seen in a logical and non-disruptive manner.

      Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed.

      Ensure reception and work area is kept neat and tidy.

      To manage and assist with online digital appointment service.

      Answer telephone and deal appropriately with enquiries.

      Book appointments ensuring sufficient information is recorded to retrieve medical records.

      Where applicable enter results and other information into computerised patient records.

      Enter requests for home visits onto EMIS system incorporating all required data and where necessary refer to the duty doctor.

      Liaising with doctors and nurses to provide maximum support to surgeries and clinics.

      Preparing surgery and clinic lists ensuring all patients notes are available.

      Arrange hospital transport when required.

      Take telephone messages as required.

      Ensure patient and Practice confidentiality is maintained at all times.

      Using computer to access, extract and enter patient information.

      Ensure computer security is preserved by changing user when not at your computer screen. To keep your password secure at all times.

      Reporting any computer defects or problems to the Practice Manager or IT Department when they arise.

      Secure premises at end of the day, ensure the building is totally secured in accordance with the practice protocol.

      Follow Practice and Reception protocols.
