      **This is an onsite position in our Nisku, Alberta office**

      What you will do

      You will be responsible for a wide variety of clerical and office duties in support of the company’s administration. These duties include coordinating and communicating office activities, greeting visitors, mail, and sorting and inventory control of office supplies.

      How you will do it

      • Respond to telephone, email, and in-person inquiries from clients, business partners, and other parties.

      • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.

      • Welcome candidates for interviews and new employees for orientations.

      • Prepare orientation packages for all new hires.

      • Create access cards for all new employees and replacement requirements.

      • Take and record telephone, e-mail, or written messages for staff members.

      • Type forms, letters, reports, and memos, as necessary.

      • Taking inventory, stocking, and ordering appropriate supplies for the office including boardrooms, cafes, and gym.

      • Perform mail-associated duties.

      • Execute employee engagement activities.

      • Receive, sort, and distribute all forms of paper correspondence including pay information statements.

      • Organize, maintain, and coordinate office records and files in their proper locations.

      • Coordinate the logistical aspects of departmental programs, such as meetings, seminars, workshops, special projects, and events.

      • Order food and beverages for onsite meetings as well as pick up and set up.

      • Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure the appropriate presentation equipment is there.

      • Other duties as required.

      What we look for

      Required:

      • High school diploma or GED, or an acceptable combination of education and receptionist / administrative experience

      • Strong customer service orientation

      • Ability to apply, understand to carry out instructions in written and verbal form

      • Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items

      • Able to maintain filing systems and basic databases

      • Strong written and verbal skills to communicate with all levels of the organization and its executive team

      • Able to present a neat and professional appearance

      Working Conditions

      • Office environment

      • Manual dexterity required to use desktop computer and peripherals

      • Able to occasionally lift items as heavy as 20lbs

      • Communication is both internal and external to the hourly and salaried work force, the public, customers, and vendors
