      Job summary

      An exciting opportunity has arisen for a medical receptionist to join our friendly team.

      Previous experience working in primary care on EMIS Web and DOCMAN is desirable but not essential.

      The ideal candidate will be hardworking, flexible and have a caring and professional manner.

      The successful candidate will represent the practice being the first point of contact for our patients. Dealing with queries and concerns, liaising between our patients and clinicians.

      Dealing with day to day queries by telephone, email and face to face.

      The successful candidate will also undertake other administration duties which include photocopying and scanning.

      Main duties of the job

      The successful candidate will be the first point of contact for our patients, carers, relatives and visitors. Therefore, a polite and professional manner is essential.

      Care navigatingour patients to the relevant services, often liaising with external services such as Community Pharmacists along with our additional roles which include our Social Prescriber and Clinical Pharmacist to ensure the patient is seen by the most appropriate person or service in a suitable timeframe. Both answering the telephone and making appointments along with dealing with patient's face to face.

      The successful candidate will work alongside our clinicians supporting with admin related tasks, other external services and arranging follow up appointments.

      The candidate should be able to work autonomously and well within a team.

      An excellent understanding of confidential is essential.

      We are busy and friendly practice with over 9,500 patients covering Trent Vale and surrounding areas.

      We have three GP partners, three salaried GPs, a clinical pharmacist and advanced nurse practitioners along with an experienced practice nursing team. A friendly team of receptionists, medical secretaries, and administration team.

      Job responsibilities

      The purpose of the role is to:

      Offer general assistance to the practice team and project a positive and friendly manner to patients and other visitors, either in person or via the telephone.

      Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

      Undertake a variety of administrative duties to assist in the smooth running of the practice. Delivering clerical support to clinical staff and other members of the practice team i.e. the senior receptionist and assistant practice manager.

      Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

      The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time, dependent on current and evolving practice workload and staffing levels:

      • Maintaining and monitoring the practice appointments system
      • Processing telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
      • Processing and distributing incoming (and outgoing) mail
      • Taking messages and passing on information
      • Filing and retrieving paperwork
      • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
      • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
      • Providing clerical assistance as required from time to time, including word/data processing, filing, photocopying and scanning
      • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
      • Any other duties deemed necessary
