- Greeting and directing patients.
- Booking appointments, maintaining and monitoring the practice appointment system.
- Processing personal, telephone and e-requests for appointments.
- Answering incoming phone calls, transferring calls or dealing with the callers request appropriately.
- Signposting patients to the correct service.
- Processing incoming and outgoing mail.
- Initiating contact with and responding to, requests from patients, team members and external agencies.
- Processing referrals to external agencies such as secondary care using the electronic referral system (ERS).
- Processing all DNA letters in accordance with current policy.
- Reading code data on SystmOne.
- Filing and storing records as required.
- Inputting data into the patients healthcare records as necessary.
- Scanning of patient related documentation and attaching scanned documents to patients healthcare records
- Managing all queries (including administrative queries) as necessary in an efficient manner.
- Monitoring, maintaining and tidying the reception area and notice boards.
- Supporting all clinical staff with general tasks as requested.
- Experience of an administrative or reception duties.
- Excellent communication skills, with a clear and polite telephone manner.
- Ability to work in a polite, confidential and discreet manner, respecting patients at all times.
- Experience of working with the general public.
- Strong IT and administration skills.
- Some flexibility is required, as you will sometimes need to work additional or alternative hours to cover for colleagues.
- Previous medical or healthcare receptionist experience.
- Educated to GCSE level or equivalent.
- Experience of an administrative or reception duties.
- Excellent communication skills, with a clear and polite telephone manner.

Job summary
Caradoc Surgery are currently seeking a receptionist/administrator to join their team on a part-time basis, working 25.5 hours per week. Hours are as follows;
Monday 07:45 - 13:15
Tuesday 07:45 - 18:45 (1hr lunch)
Friday 07:45 - 18:45 (1hr lunch)
This key role will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. We are looking for a receptionist/administrator to join our busy practice team and help make a positive impact on our local community. We would welcome applications from organised, adaptable, and friendly individuals, who are keen to help us provide high levels of customer service.

We have a diverse patient population of around 32,000 patients and all practices work on SystmOne.
