      The Undergraduate Records Office is dedicated to accurately maintaining student information in a reliable and confidential manner while delivering high quality student service within an environment of high volume.

      About the Role

      The Records Assistant performs complex and specialized clerical functions related to the creation and maintenance of accurate undergraduate student records, acts as an expert and resource person for inquiries from students, staff and faculty on registration, grading, fee assessment, deadlines, graduation processing and related university policies and procedures. Acts as a resource person for our partner institutions and processes records related to students in partnership programs. Reviews and processes a variety of forms and documents while checking for correct application of procedure and accuracy. Provides guidance and subject matter expertise to undergraduate program assistants, advisors, and student services information assistants at the University on matters related to transfer credit, registration, student exceptions to degree progress reports, NCAA compliance and graduation.

      Qualifications

      High school graduation and one year of post-secondary education, including training in word processing, database and spreadsheet applications. Minimum 3 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

      • Ability to use enterprise level information systems (e.g., PeopleSoft, SIMS, or equivalent) at an intermediate level.
      • Ability to adapt to new software applications and procedures, and assist internal and external stakeholders with their use.
      • Good knowledge of undergraduate institution regulations, programs, policies and procedures.
      • Ability to use word processing and spreadsheet applications (e.g., Word and Excel) at an intermediate level.
      • Ability to follow oral and written instructions accurately.
      • Ability to handle confidential/sensitive material with discretion.
