- Routinely evaluates new laws and evolving technologies to develop updated methods to administer the Citywide Records Management Program, including records retention and destruction schedules and policy development.
- Develops and implements employee training materials and programs based on updates to State Law and retention schedules. Provides formalized records training sessions to City Staff and Elected Officials.
- Oversees and maintains City Records Center, including storage, archiving, and/or destruction according to applicable regulations and established policies.
- Proactively evaluates program operations and effectiveness of records management practices, making recommendations on how City records will be created, stored, produced for disclosure, and destroyed.
- Tracks and interprets public records laws and regulations, including ongoing revisions to the State Records Retention Schedule, and applies requirements to mitigate financial and legal risk to the City.
- Maintains knowledge of emerging technologies and the potential implications on records management processes, ensuring accessibility and integrity of City records.
- Researches records management funding sources, writes proposals, determines needs, and administers grants and/or funds raised under the supervision of the City Clerk.
- Backup support to Citywide Public Records Requests: Incumbent may perform intake and distribution of Public Records Requests, search and review of responsive records, and communicate with requestors on an as-needed basis.
- Backup support to Council Meetings: Incumbent may provide staff support at Council meetings on an as-needed basis to include composition of minutes.
- Researches, analyzes, and prepares various reports, plans and other materials for assigned areas.
- Develops and maintains working relationships with Elected Officials, City staff, community and agency contacts, and members of the public.
- May provides staff support to City Council meetings and composing meeting minutes on an as-needed basis.
- May provide staff support to the public records request workload on an as-needed basis.
- Provides staff support to the front counter.
- Serves as Notary Public
- Terminology, laws, and regulations governing Records Management and Public Records, including Washington State Records Retention Schedule;
- Knowledge of records management best practices and record retention techniques and principles.
- Highly developed organizational skills with strong attention to detail and thoroughness.
- Proficiency in Microsoft Office suite applications (Word, Outlook, and Excel), SharePoint and Adobe Pro.
- Familiarity with general municipal/public sector policies and practices.
- Ability to establish and maintain effective working relationships with City staff, elected and appointed officials, department directors, partner agencies, and the public.
- Excellent grammar, verbal, written, and interpersonal communication skills.
- Demonstrated experience gathering, manipulating and using data.
- Demonstrated ability to work independently and multi-task in a fast-paced environment with multiple competing priorities.
- Ability to conduct technical research and compose correspondence and reports as may be required.
Valid Driver's License and ability to drive a city vehicle. Driving record to be obtained during interview process.
Ability to obtain a Notary Public appointment after completion of probationary period.
Overview
The City of Tukwila is a dynamic suburb of Seattle, Washington with a population of 21,000 residents and a daytime population of more than 125,000 due to its strong retail, manufacturing, and industrial base. The City Clerk’s Office is the general information center for City business and includes the core municipal functions of Public Records, Public Meetings, and Public Access. All contracts and agreements are reviewed and executed in the Clerk’s Office; all City legislation (ordinances and resolutions) undergo development, review and finalization under the guidance of the City Clerk’s staff; and the Tukwila Municipal Code is developed and published in the Clerk’s Office. Public records requests, bids, appeals, claims for damages, and litigation are received in the City Clerk’s Office, and the City Clerk is the liaison to King County for voter registration and elections.
Description
The City Clerk’s Office is seeking a Records Program Coordinator to oversee the Citywide Records Governance Program and support the programmatic functions of the City Clerk’s Office as prescribed by State statues, City ordinances and policies. The Records Program Coordinator will be a core member of a small, dynamic division within the Administrative Services Department and will be a key contributor to the City’s mission to provide superior services that support a safe, inviting, healthy environment for our residents, businesses, and guests.
Work scheduleThe schedule for this position is traditionally Monday through Friday, 8:30 a.m. – 5:00 p.m.
After passing probation, work associated with this position may be performed in a hybrid work environment, with partial teleworking opportunities, up to 2 days a week.
The position will remain until August 1, 2023.
This is a full-time, benefited position represented by the Teamsters, Local #763.

Bachelor's Degree in a related field and four years of increasingly responsible program experience; Familiarity or working knowledge of RCW 40.14, RCW 42.56, and government retention schedules; or an equivalent combination of education or experience which provides the knowledge, skills and abilities sufficient to perform the essential elements of the job.
