Supports the Recruitment (Sales) team through the development and management of the existing Customer Relationship Management (SalesForce) system as it pertains to prospective students.
Acts as the unit CRM expert, maintaining documentation, providing recruitment pipeline training, updating reports, dashboards in close collaboration with recruitment and admission teams, with guidance from the UBC Sauder R&A leadership team and BTMO.
Maintains documentation, updates processes with guidance from the UBC Sauder Leadership team and liaises with UBC IT and BTMO to coordinate system enhancements in support of the unit’s KPIs and enrolment objectives.
Coordinates development of market and school ranking related surveys (QS, Maclean's, GMAC, etc.) to enhance the reputation of RHL and gain insights into our competitors, marketing initiatives, and KPIs.
Coordinates with outside vendors to source international recruitment events and liaises with the Operations Team and UBC's Central Finance team to ensure services are tendered.
Provides promotional and technical coordination for all local and international recruitment events, including webinars, e-fairs and other recruitment initiatives.
May meet with prospective UBC Sauder students and to provide a recruitment presence at local (and occasional out of town) recruitment events.
Analyzes and reports program performance to the UBC Sauder R&A team, provides results, updates and recommendations for improvement and new programs. Builds and maintains reports and system list views for the recruitment team, providing training and support and maintains the report and dashboard databases.
Supports the admissions team through the development of UBC Sauder’s applications, official documents, status messaging and assists in the enhancement of prospective students’ customer journeys in CRM.
Prepares market projections and forecasts, assists with sales and market analysis and research in alignment with the priorities, KPIs and business objectives established by UBC Sauder’s R&A leadership team.
Communicates insights from the CRM system reports and dashboards regularly to UBC Sauder recruitment and leadership team aligned with KPIs and enrolment targets, may offer insights into lead conversion and applicant yield behaviours to support recruitment and marketing campaigns tracking.
Provides insights on applicant follow up, yield and retention needs. Analyzes application pipelines to guide recruitment activities.
Creates toolkit to monitor and analyze program performance in the CRM system for the R&A team.
Provides insights to R&A and MarCom teams and contributes to the creation and execution of recruitment and marketing plans for UBC Sauder programs, for domestic and international activities.
Contributes to the creation of and manages the budgets for activities related to recruitment and marketing initiatives.
Collaborates with and obtains input from MarCom to design and execute the production of marketing collateral for all programs, including program brochures, writing, editing and proofing copy as required.
Maintains UBC Sauder undergraduate and professional graduate degrees, certificates and diplomas web pages, including occasionally writing marketing copy in collaboration with MarCom, managing the production of student, faculty, employee and alumni interviews/testimonials and determining methods of promotion.
Liaises with MarCom on the creation of email campaigns, landing pages and digital advertising assets to support marketing campaigns and coordinates these initiatives for R&A.
Contributes to UBC Sauder social media posts by sourcing relevant content for the school and liaises with MarCom for publication.
Coordinates with outside vendors and agencies to ensure branding is compliant with UBC Sauder brand. Works closely with MarCom to ensure appropriate representation of the UBC Sauder brand.
Implements and oversees CRM reports and shares performance insights with R&A team to ensure pipeline awareness and alignment of KPI tracking with school’s overall marketing strategy, KPIs and goals, brand guidelines and program-specific sales and marketing plans.
Contributes directly to the development of policies and priorities of the unit as a member of the management team.
Develops and enhances relations with faculty and employees within UBC Sauder and numerous campus departments.
Assumes responsibility for special projects assigned by the Assistant Dean, Director and senior managers, including the Dean’s Office.
Performs other duties within the guidelines of the role as required including other recruitment-related activities, occasionally including travel domestically or internationally.

The Recruitment and Admissions (R&A) unit at the UBC Sauder School of Business plays an integral role in the achievement of the UBC Sauder’s commitment to attract, engage and retain students who represent diverse perspectives, experiences and identities (UBC Sauder Strategic Plan) by recruiting well-qualified, high-performing, community-minded, and diverse domestic and international students to meet the school’s enrolment targets and goals.
The Recruitment Sales Specialist works closely with UBC Sauder’s Robert H. Lee Graduate School, Hari B. Varshney Business Career Centre, Undergraduate Office, Development and Alumni Engagement teams to provide effective recruiting services to prospective students, and supports the Recruitment and Admissions team by planning and executing a wide range of recruiting tactics in a variety of settings.
The incumbent also develops and maintains systems for effective lead generation and management and administers the marketing activities for the undergraduate and professional graduate degrees, certificates and diplomas working directly with the UBC Sauder Marketing and Communications (MarCom) department, and acts as a liaison between the units.

This position is able to handle a high volume of activities requiring very careful attention to detail and adherence to strict deadlines.

Minimum Qualifications
Diploma in Marketing. Minimum of one year of related experience, or the equivalent combination of education and experience.- Willingness to respect diverse perspectives, including perspectives in conflict with one’s own
- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion
Preferred Qualifications- Experience in a sales and marketing related role, involving technical, design, project administration and execution activities.
- Experience supporting a sales team with tactical activities is an asset.
- High degree of comfort and experience working with different technologies and applications, including advanced use of Adobe, basic html and Customer Relationship Management (CRM) systems and website content management tools. Experience with SalesForce is preferred.
- Experience / knowledge of Google Analytics is an asset.
- Intermediate minimum or Advanced preferred MS Excel skills.
- Excellent verbal and written communication skills. Ability to write, edit and contribute to marketing copy.
- Experience in monitoring and tracking Key Performance Indicators (KPIs) through dashboard creation and management.
- Ability to interact professionally and act as a brand ambassador.
- Ability to manage complex projects with high attention to detail.
