      JOB TITLE: REPAIRS ADMINSTRATOR

      We are seeking a Repairs Administrator to join our Repairs Team. The successful candidate will be responsible for the effective expediting of all office duties and queries throughout the repair process for the purpose of progress feedback to the Repair Centre Manager to ensure customer satisfaction is met.

      In this position, you will report to Repair Centre Manager .

      This position is mainly located in Alrode, Gauteng.

      TEAM YOU BELONG TO

      You will join the Repairs Team and work closely with internal // external stakeholders, such as all Metso departments, including the Engineering Team, Quality Team, Manufacturing Team, Warehouse Team, Procurement Team and support the Repair Team when needed.

      WHAT YOU WILL DO

      • Capture all data received on items received on repair schedule/RMS
      • Collate and submit weekly Works in Progress reports to customers
      • Assist with the administrative duties in relation to contractual obligations, to ensure compliance with agreements
      • Follow up on job completion and closure and prepare cost summary reports
      • Prepare invoices and investigate unpaid invoices
      • Monitor all orders and change orders in Quadrem and follow up with relevant stakeholders, as required
      • Create and maintaining job files
      • Create and maintain team metrics
      • Back-order report rectification for all repairs coordinators
      • Purchase consumables for the workshop
      • Collate and submit monthly reports for service activities
      • Minute taking and distribution
      • Other duties, as required, for the aftermarket refurbishment team
      • Collate and print of reports, as required
      • Provide Workshop Supervisor with weekly MRS# to SAP job numbers table
      • Prepare parts requisitions and purchase requisitions, as required
      • Vendor Liaison via Pool 4 Tool (P4T) system
      • Send repair quotations to customers
      • Loading of customer PO once received. Process on SAP and update repair schedule
      • Request transport quotes and loading of transport PO’s when needed
      • Creating purchase requisitions and purchase orders on SAP
      • Confirming off all PO’s after delivery notes and invoices are received
      • Requesting cost transfers
      • Invoicing of completed repair jobs. Teco and close jobs after invoicing
      • Closing jobs after month end
      • Create credit notes on SAP when required
      • POD’s- Write, file, and request signed POD’s when required
      • Ordering all office equipment
      • Filing
      • Retain all relevant correspondence by e-filing or hard copies and attach relevant info on SAP
      • Confirmation of orders and invoicing on ARIBA
      • Receiving, and releasing customer orders on DOCUWARE. Once released update all info needed on DOCUWARE. Processing credits on DOCUWARE
      • Confirm receipt off orders on M2NORTH
      • Assist with SAP related queries
      • Adhere to safety policies, procedures, and work instructions
      • Compliance to Occupational Health and Safety Act
      • Ensure personal protective equipment is used as required
      • Manage the housekeeping in area of responsibility
      • Perform other duties as required by the Repair Centre Manager and Repairs Manager

      WHO YOU ARE

      • Matric (Grade 12)
      • 2-5 years of experience in an office environment
      • Excellent communication skills and ability to work in a team environment
      • Advanced SAP experience . Understand and know various SAP functions
      • Very good knowledge of purchasing and invoicing as this is done internally in the department
      • Sound knowledge of other software packages such as ARIBA, P4T, DOCUWARE, M2NORTH, GQS, RMS

      Essential

      • Advanced skills in MS Office – Word and Excel.
      • Excellent data entry skills – numerical and alphanumerical.
      • Experience in office administration .

      • The employee is required to stand, walk, and climb or balance
      • The employee must lift and /or move up to 20kg
      • Specific vision abilities required by this job include close vision, distance vision, colour vision, peripheral vision, depth perception, and the ability to adjust focus
