- Prepare and distribute sales proposals, contracts, and group resumes
- Maintain and update client information, activities, and bookings in the hotel’s sales systems (e.g., Delphi.fdc, SalesForce, or equivalent CRM)
- Assist with tracking leads, tentative bookings, and definite business
- Manage and coordinate incoming RFPs, inquiry calls, and emails
- Support the Sales team with site inspection coordination and client follow-ups
- Proactively identify and reach out to potential new business opportunities through prospecting and cold calling.
- Conduct research to uncover prospective clients for meetings, group stays, and events.
- Seamlessly route qualified leads and inquiries to the appropriate sales or catering team member for follow-up.
- Provide support with additional responsibilities as needed to contribute to the overall success of the Sales & Catering teams.
- Attend networking events to foster new connections and support business development efforts.
- Perform other duties as assigned by the Director of Sales, specific to the needs and priorities of the property.
- Serve as a liaison between clients and internal departments (Catering, Operations, Front Office, etc.) to ensure smooth event and group execution
- Prepare tailored client communication, including confirmation letters and other event-related documentation.
- Coordinate and assist with hotel familiarization (FAM) tours and promotional site visits
- Support in-house groups by assisting with rooming lists, signage, welcome packets, and amenity coordination.
- Manage updates to digital and physical signage and guest welcome messaging.
- Generate weekly and monthly sales reports (lead conversion, production, etc.)
- Track and report on sales team production, account activity, and key performance metrics
- Maintain organized digital files for contracts, proposals, and event documentation
- Assist in preparing sales presentations, collateral, and promotional packages
- Support with social media or e-blast content for group promotions as needed
- Help coordinate participation in trade shows, client events, or sales blitz activities
- Previous hotel or hospitality experience preferred (experience in Sales, Events, or Front Desk is a plus)
- Strong written and verbal communication skills
- Detail-oriented with excellent organizational and time-management abilities
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with hotel sales systems like Delphi.fdc, Salesforce, or Opera Sales & Catering a plus
- Ability to multitask in a fast-paced, guest-focused environment
- Embodies a professional presence while representing the hotel brand with genuine Montana hospitality

As the Sales Coordinator, you will have the pivotal role of supporting the daily operations of the sales team to ensure they meet the hotel’s financial goals. You will also act as the liaison between the hotel’s sales and operations team, making sure everything runs smoothly.
Pay Range: $24-27/HourField & Stream Lodge Co.Located at the base of the Bridger Mountains and inspired by the spirit of exploration, Field & Stream Lodge is where adventure meets hospitality. This role offers the opportunity to represent a hotel brand that celebrates outdoor pursuits while providing authentic Montana hospitality to leisure travelers, corporate retreats, and group guests.
