      What this job involves

      We are currently seeking a Sales/Transaction Coordinator to support our Healthcare Tenant Rep team in our Dallas, TX office. This role provides brokerage and administrative support under the direct supervision of a combined team. This position will work in a fast-paced, team-oriented, client service focused environment handling details of a confidential nature as well as prioritizing projects to meet deadlines.

      Responsibilities - Administration :

      • Perform administrative functions that support the sales and client service team: meeting preparation, calendar invites, travel arrangements, expense reports (including status of payment, reconciliations and audit inquiries)and any general office support.
      • Navigate and update Smartsheet sheets for deal pipeline, client dashboards, broker production, etc.
      • Manage workflow and approval process for all assigned projects.
      • Execution of transaction work and client deliverables.
      • Train and develop Power User status with internal systems and technologies
        • Support the team in utilizing Outlook, CRM, Smartsheet, Rex, and other internal company applications with data entry and maintenance.
        • Maintain accurate broker deal pipeline and provide deal status reports, as needed.
        • Process broker commission invoices, submit vendor invoices to AP and follow up on past due invoices.
        • Assist team with preparing and updating client-specific reports.
        • Assist and participate as needed for industry functions or client events.
        • Maintain cloud-based filing system and efficient information retrieval.
        • Perform clerical duties to include emailing, photocopying, mailing and scanning documents.
        • Produce timely and accurate word-processed documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)

      Responsibilities – Brokerage Coordination

      Marketing/Deal, Research and Business Development:

      • Draft RFPs, NDAs, Commission Agreements utilizing template database
      • Create market surveys in various submarkets nationwide in a timely manner, steps to include: compiling available spaces and property information in a given market, sending inquiries to associated brokers to gather property information, compiling broker provided data into JLLT market survey software and revising as needed for the broker and the client.
      • Coordinate with Sales Enablement team on new business pitches, presentations and RFPs as required to win or maintain business.
      • Partner with Research and Marketing teams to assist with projects as needed.
      • Assist with creation of maps, matrixes and research for presentations and deliverables
      • Assist in the edits, changes, and preparation to produce large marketing presentations, often with a short lead-time.
      • Create deliverables utilizing JLL branded templates and/or creating custom deliverables and responsibility for naming conventions and filing documents according to guidelines.
      • Work with Marketing with creation of brochures, Placemats, presentations as needed. Design and editing of client deliverables for Marketing purposes utilizing In- Design, Illustrator and sometimes Power Point.
      • Expanding, updating and maintaining maps and aerials (from input of brokers).
      • Utilizing Eloqua and contact data lists coordination of content from Marketing and Research to create and prepare eblasts to be scheduled and sent.
      • Working within Marketsphere, provide comps, availabilities and additional local information to the activity report managed by the Dispositions Coordinator or the activity report.
      • Responsible for maintenance and reporting from Aero Opportunity Tracker

      Requirements:

      • Bachelor’s Degree or commensurate experience preferred.
      • Workplace experience: Minimum of 5 years in administrative support role and real estate background is preferred.
      • Advanced Microsoft Office and Adobe Creative Suite knowledge (Excel, Word, Smartsheet, PowerPoint, and Outlook, Photoshop, InDesign, Illustrator and Acrobat) is required.

      • Proactive – enable brokers to focus on revenue generating tasks by efficiently handling team operations by coordinating with JLL resources (JLLT, marketing, research, etc.)
