      Job Summary :

      The Satellite Site Supervisor is a member of the Leadership Team, directly responsible for the supervision of including but not limited to the following site staff: Customer Service Representatives (CSRs), Medical Assistants (MAs) and Team Leads (TLs). Leads day-to-day site operations including patient and customer service, clinical site compliance and safety standards. The Satellite Site Supervisor is charged with ensuring the delivery of high-quality health care in a manner that is both cost efficient and meets all regulatory agency requirements. Responsibilities include providing direction, and coordination of staff at each assigned Hamilton clinical department/site.

      Essential duties and Responsibilities :

      • Responsible for knowing or learning the role of each position in the departments.
      • Supervise, train, and evaluate assigned staff.
      • Evaluate new staff during initial 90 days of employment, then annually.
      • Direct and manage clinic supervisory personnel in the day-to-day operations to improve productivity and customer service for efficient, quality healthcare. This includes establishing work schedules, practice assignments for staff, recruitment, staff development, employee relations, performance appraisals, and monitoring time/attendance.
      • Consistently mentor team members to enhance their skills and effectiveness and provide coaching/counseling as necessary.
      • Ensure all CSRs and MAs follow established policies and procedures. Assist with documenting and implementing new procedures as needed. Address issues regarding lack of compliance per health center policy.
      • Ensure staff always maintains professionalism including proper manner of performing professional duties, and all forms of communication with patients, families, and companies with which we do business.
      • Assume responsibility for the ongoing/daily management of back and front office staff for effective clinical operations of the health center.
      • Ensure staff is trained in The Joint Commission (TJC) standards. Assure that TJC documentation standards are maintained and completed as needed. Ensure that staff is supported to meet any inspection requirements from TJC, Centers for Medicare and Medicaid (CMS), and any other local, state, or federal regulatory agency or standards accreditation or oversight body.
      • Communicate identified issues and concerns in a constructive manner and participate in solutions.
      • Work with clinic staff to support the VFC and VFA program, private stock medications and assure compliance with these programs.
      • Coordinate (front and back office) staffing.
      • Coordinate with Clinical Director and Chief Medical Officer on provider coverage when provider is scheduled off.
      • Point of contact for clinical staff who are running late, ill, or unable to come to work.
      • Ensure that patient care and flow, including follow up items are completed according to the health center policy and any regulations established by local, state, and federal government agencies.
      • Follow up with patient concerns and/or incidents as appropriate utilizing the complaint/incident form and process.
      • Maintain and monitor patient flow throughout the site; notify immediate supervisor or designee on status of flow issues, or other issues or problems as they arise.
      • Ensure all clinical and patient care issues are addressed in a timely manner with collaboration with Team Lead and provider.
      • Oversee inventory of medical supplies and ensure adequate inventory is available to staff, as well as anticipate future needs to ensure inventory does not run out, and purchasing is conducted in a cost-conscious manner.
      • Review site staff time and attendance, and payroll each pay period, monitor hours worked and verify accuracy of the payroll for employees at the regional sites. Provide feedback as required to employees.
      • This position is responsible for clear, timely, accurate and transparent communication directly with the Human Resources/Clinical Director related to PTO, protected leave, employee injuries, and progressive employee discipline matters.
      • Responsible for the oversight of the collection of monies processed by the Customer Service Representative and submitting the daily deposit reconciliation to accounting dept.
      • Provide documentation and follow up as required for quality assurance.
      • Ensure clinic space within site is maintained in good order.
      • Oversee maintenance and cleaning schedule for the site.
      • Coordinate and oversee any maintenance work that needs to be performed in clinical site.
      • Maintains all clinic operating procedures and office files; informs physician(s) of business matters involving personnel and financial items of importance on a regular basis. Ensures the daily physician practice clinical activities are documented, coded, and billed accurately to ensure compliance with all regulatory agencies and financial protocols.
      • Attends and coordinates when appropriate meetings among clinical, clerical, and provider personnel and promotes an environment that encourages effective communication.
      • Participate in management meetings and other meetings as identified and appropriate.
      • Run appropriate daily, weekly, and monthly clinical reports in collaboration with Clinical Director.

      Minimum Education/Certifications: High School diploma or equivalent and must be a graduate of an accredited Medical Assistant school, must be Certified as a Medical Assistant. Associates Degree preferred in Business Management/related field or 5 years relevant experience in a medical setting.

      Minimum Work Experience: Minimum of five years of experience in a clinical environment working directly in patient care, preferably in an FQHC. Experience in management or supervision of staff preferred. Highly proficient in Microsoft Office and knowledge working with Electronic Medical Records.

      Knowledgeable in The Joint Commission regulations preferred.

      Other Requirements: Reliable transportation to travel throughout the service area.
