- Answer incoming calls with empathy and a solutions-focused mindset.
- Conduct initial intake calls, gathering client information and learning about their care needs.
- Schedule in-home consultations and coordinate care start dates.
- Send service agreements, collect deposit information, and follow up with leads.
- Share community resources and educate families about our services.
- Build trusting relationships with new clients and serve as their point of contact.
- Collaborate with the Client Care Coordinator to ensure client satisfaction and long-term retention.
- Conduct follow-up calls to assess satisfaction, and identify areas for improvement.
- Assist the Scheduling team with shift coverage for in-home clients and healthcare facilities.
- Maintain contact with partnered facilities to understand and fulfill open shift needs.
- Match qualified caregivers with open shifts based on availability and skill set.
- Keep accurate records of schedules, contact details, and shift coverage using scheduling software.
- Proactively anticipate scheduling needs, assist during peak times, and fill in when the primary scheduler is unavailable.
- Manage last-minute changes, weekend/holiday scheduling, and handle conflict resolution with professionalism.
- Ensure consistent communication between caregivers, clients, facilities, and internal departments.
- 1–2 years of experience in scheduling, intake, or client coordination—healthcare experience is a plus.
- Strong communication and customer service skills with a professional, empathetic demeanor.
- High level of organization, attention to detail, and ability to multitask.
- Proficient in Microsoft Office and scheduling software.
- Proven problem-solving skills and ability to remain calm under pressure.
- Bilingual (English/Spanish) is a plus.

The Scheduling & Client Intake Assistant plays a critical dual role within our organization—supporting client onboarding through empathetic intake and customer service while also assisting with the coordination of caregiver schedules. This position works closely with the Scheduling, Recruiting Team, and Client Care teams to ensure new clients experience a smooth intake process and that all care shifts are staffed effectively.
