- Maintaining of all school financial records, including generalized and specialized files
- Maintaining established fiscal and internal control procedures related to managing school activity funds
- Communicating with Principal on internal/fiscal controls for school activity accounts
- Preparing and submitting timely monthly financial reports for the school activity fund
- Ensuring established procedures are followed including securing on site funds, preparing deposit slips and transporting all receipted funds to the bank within established timeframes
- Preparing monthly bank reconciliations
- Maintaining and monitoring office petty cash fund
- Administrator of the ESS substitute program for teachers
- Assists with monitoring and validating time accounting/leave for school staff
- Processing requisitions and verifying invoices for prompt payment
- Complying with sales tax collection and remittance procedures
- Preparing checks for disbursement based on approved voucher
- Monitoring student obligation records and other amounts due to the school
- Assist Principal with managing school budget by performing reconciliations, preparing and submitting invoices to the Central Office for payment
- Administering School Activity Funds, including maintaining required documentation and preparing and submitting required reports
- Providing timely and accurate responses to inquiries from vendors, parents, staff and/or others
- Provide information and assistance to internal and external auditors upon request
- Assist with the front office management on a daily basis: greeting stakeholders, answering the phone, etc.
- Perform other duties as assigned by Principal or Assistant Principal
School Bookkeeper
Under the supervision of the school principal, the School Bookkeeper will perform duties associated with the effective financial operation of the school for the school activity fund, as well as school materials and instructional accounts. This position requires a high degree of accuracy, accountability and confidentiality. Work is reviewed periodically for accuracy and compliance with division policy as well as federal and state law. The school bookkeeper will also work closely with the Director of Finance to meet division directives.
MINIMUM QUALIFICATIONS
High school diploma or equivalent; office management experience to include one year of fiscal management, AR/AP or bookkeeping experience. Valid Virginia drivers’ license required; communicating effectively both verbally and in writing with school administrators, central office personnel, internal and external auditors, etc.; knowledge of record keeping methods and bookkeeping methods; skilled in use of PC and proficient with various word processing, spreadsheet and database software programs; effective verbal and written communication skills; excellent organization and time management skills; and ability to work independently with minimal supervision.
PREFERRED QUALIFICATIONS
College degree in Finance, Accounting or related area; public school experience as a bookkeeper or fiscal technician; experience with budget development and management procedures; and considerable accounts receivables and accounts payable experience
TERMS OF EMPLOYMENT
Immediate Supervision: Principal – Acquinton Elementary School
Contract: 12 months

The selected candidate must also abide by state statutes, school board policies and regulations; attend meetings and performs additional duties as assigned by the School Principal and/or Director of Finance; take all necessary and reasonable precautions to protect students, equipment, materials, and facilities; maintain accurate, complete and correct records as required by law, district policy and administrative regulations.
