Job Overview
The Seasonal Production Coordinator will support the Macy’s Branded Entertainment Production Operations Team in coordinating operational plans and logistics for the Macy’s iconic events, including the Macy’s Thanksgiving Day Parade and Macy’s Santaland and holiday attractions, while also focusing on administrative responsibilities.Essential Functions
• Provide general support during events (crowd control, lifting barricades, creating signage, etc.)
• Assist with vendor coordination, trucking coordination, security planning, day-of event support, coordination of proofing/approval of advertising & promotional material
• Update operational reports, write POs, and update budget spreadsheets
• Assist with coordination with city agencies on route preparation
• Ensure supplies are ordered and place maintenance requests where necessary
• Assist with ticketing and/or credentialing strategy Macy’s Thanksgiving Day Parade events and coordinate distribution of all tickets/credentials
• Assist with execution of events including volunteer, guest, and vendor coordination
• Assist with Parade volunteer coordination through the volunteer databases (Filemaker Pro and third party website) and support communication and training program for designated Parade Area (i.e. Balloon Program, Marshal Program, etc.)
• Prepare documents and permitting for City Agencies
• Attend site surveys, walk throughs, and on-site meetings for the coordination of events and prepare necessary documents for such meetings
• Coordinate with Macy’s store teams as necessary for Branded Entertainment event load ins and set ups
• Prepare and monitor RSVP lists, sign-in sheets, and security lists for events and trainings as necessary
• Assist with other administrative tasks for larger team including travel coordination, hotel bookings, shipping, catering and supply orders
• Assist in planning for seasonal Santaland operations including communication with store team, pre-season setup, in-season support, and post-season strike as needed
• Assist with management of Santaland reservations and reservation tool for in-store markets as needed
Qualifications and Competencies
Education Requirements
Min/Preferred Education Level Description• High School diploma (or equivalent) required
• Bachelor’s degree preferred
• Prior experience in event production a must
• Computer and general technical competency required
• Background in theatrical/event production, stage management or company management a plus

• Excellent leadership, facilitation, and interpersonal skills, with the ability to work across functional lines and at many levels
• Ability to think creatively, strategically and technically
• Customer service experience preferred
• Experience with Outlook, Excel, Word, Power Point, Publisher preferred
• Organizational skills including strong prioritization, flexibility and punctuality
• Flexible with scheduling and available to work unconventional hours including evenings, overnights, weekends and/or holidays. Working Fourth of July, Thanksgiving Day and Christmas Eve should be expected
• Drivers license preferredPhysical Requirements
• Prolonged sitting or standing (more than 2 hours) should be anticipated
• Heavy lifting (over 50lbs) and getting dirty should be expected in this position
