JOB DESCRIPTION
TITLE: Secretary
The secretaries are hired by the Director of Court Services and Probation with the approval of the Chief Circuit Judge and are under the direct supervision of the Administrative Assistant. The Secretaries may serve a (6) six-month probationary period at the discretion of the Director.
QUALIFICATIONS:
The Secretaries will minimally meet the following qualifications:
- Obtain a high school diploma or GED Certificate;
- Must type at least 60 words per minute
- Must be able to transcribe from a dictaphone;
- Must be of good moral character and able to work with others;
- Establish residency in St. Clair County or Twentieth Judicial Circuit (for outer county employees) prior to completion of the probationary period and be a U.S. citizen.
DUTIES AND RESPONSIBILITES:
The duties and responsibilities of the Clerk Stenos will include but
not be limited to the following:
- General secretarial duties (i.e. typing, filing, correspondence, answering telephone, transcribing, maintaining probation file records, operating office equipment, etc.);
- Open new and close case files;
- Prepare conditions of probation;
- Prepare monthly and annual State reports;
- Monitor Court document;
- Transfer intra and inter-state cases;
- Assist Administrative Assistant with payroll, timecards and absent sheets;
- Collect and distribute Electronic Monitor payments, probation service fund payments, and drug initiative fund payments;
- Process conditions of probation;
- Input data into the computer;
- All other duties as assigned;
- All work to be considered confidential;
