      Title: Security Manager

      Type: Exempt

      We are seeking a proactive and experienced Security Manager to oversee and enhance the security operations of our office buildings throughout the city. The ideal candidate will be responsible for the development, implementation, and management of a comprehensive security plan to ensure the safety and protection of employees, visitors, and property. This role requires a detail-oriented individual with strong leadership skills, a solid understanding of security protocols, and the ability to handle emergency situations effectively. The position is responsible for ensuring that all security and life safety systems are up to the highest industry standards.

      Position reports directly to the Director of Facilities, Capital Construction and Building Operations.

      Key Responsibilities:

      • Team Leadership: Supervise, train, and manage security personnel, including security officers and patrol staff. Ensure that all security staff are well-trained in emergency response, surveillance, and customer service.
      • Security Planning & Management: Develop and implement security policies, procedures, and protocols to ensure the safety of the building, its occupants, and assets. Regularly review and update security plans to address new challenges and technologies. Stays abreast of emerging technologies; evaluates existing and introduces new safety and security policies and procedures.
      • Security System Administrator: Oversee the daily operations of the Access Control Center platform, including configuration, maintenance, and troubleshooting of hardware and software components.
        • Installation & Configuration: Deploy new Security systems and upgrades, configure security cameras, access control systems, and other integrated devices.
        • Monitoring & Performance: Monitor system performance and availability, and address any issues related to system reliability, performance, or security.
        • Troubleshooting: Diagnose and resolve technical issues related to the Access Control platform, working closely with vendors and support teams as needed.
        • User Management: Manage user accounts, permissions, and roles within the Access Control system to ensure proper access control and data security.
        • Documentation: Maintain comprehensive documentation for system configurations, procedures, and troubleshooting steps.
        • Training & Support: Provide training and support to end-users and other team members on the Access Control system and its functionalities.
        • Compliance & Security: Ensure that the Access Control system adheres to security best practices and compliance requirements. Implement necessary updates and patches to maintain system integrity.
        • Collaboration: Work with IT department, security personnel, and other departments to integrate and optimize security solutions.
      • Dock Operations Management: Supervise the daily activities of the loading dock, including overseeing loading and unloading processes to ensure timely and accurate completion.
        1. Staff Coordination: Lead and coordinate the efforts of dock workers, including assigning tasks, providing guidance, and monitoring performance to maintain productivity and efficiency.
        2. Safety Compliance: Enforce safety protocols and procedures to ensure a safe working environment, including proper handling of materials, use of personal protective equipment (PPE), and adherence to OSHA regulations.
        3. Inventory Management: Monitor and manage inventory levels, ensuring that all incoming and outgoing shipments are accurately recorded and discrepancies are promptly addressed.
        4. Vehicle Coordination: Schedule and coordinate the arrival and departure of delivery vehicles, including managing dock space and ensuring proper docking procedures are followed.
        5. Documentation: Maintain accurate records of shipments, including bills of lading, packing slips, and inventory logs. Ensure all documentation is completed accurately and in a timely manner.
        6. Quality Control: Inspect goods for damage or discrepancies and work with relevant departments to resolve any issues related to product quality or order fulfillment.
        7. Communication: Serve as the primary point of contact for drivers, event staff, and other departments regarding loading dock activities. Facilitate effective communication to resolve any issues or concerns.
        8. Equipment Maintenance: Ensure that dock equipment, such as forklifts and pallet jacks, are properly maintained and serviced. Report any equipment malfunctions or safety hazards.
        9. Process Improvement: Continuously assess dock operations to identify areas for improvement and implement best practices to enhance efficiency and effectiveness.
      • Mail Room Operations: Responsible for the management of the handling, sorting, and distributing incoming and outgoing mail and packages within the organization. This role ensures that all mail is processed accurately and efficiently, maintaining confidentiality and security.
      • Visitor Management: Implement and manage procedures for visitor access, including issuing and tracking visitor badges and maintaining a log of visitors. Ensure that security protocols are followed for all visitors and contractors.
      • Incident Reporting: Investigate and document security incidents, including thefts, vandalism, and policy violations. Prepare detailed reports and recommend corrective actions to prevent future incidents.
      • Compliance & Liaison: Ensure compliance with all relevant safety and security regulations and standards. Serve as the liaison with local law enforcement and emergency services.
      • Risk Assessment: Conduct regular risk assessments to identify potential security vulnerabilities and implement strategies to mitigate risks. Stay informed about emerging security threats and trends.
      • Budget Management: Assist in the development and management of the security budget, including the procurement of security equipment and services.
      • Emergency Response: Act as the primary contact for emergency situations, including fire alarms, medical emergencies, and security breaches. Develop and conduct regular drills and training exercises for staff to ensure preparedness for various emergencies.

      Qualifications:

      • Education: Bachelor’s degree in Criminal Justice, Security Management, or a related field preferred. Relevant certifications (e.g., CPP, PSP, CPTED) preferred. Certified Forklift License a plus.
      • Experience: Minimum of 10 years of experience in security management, with a proven track record in overseeing security operations in a commercial or office setting. Experience managing a team is essential. Prior sworn law enforcement experience preferred. Additionally, a minimum of 3-5 years of experience in a warehouse or loading dock environment is a plus.
      • Skills: Strong leadership and interpersonal skills, with the ability to communicate effectively at all levels. Proficiency in using security systems and technology. Excellent problem-solving and decision-making abilities. Excellent customer service skills required.
      • Physical Requirements: Ability to respond to emergencies and work irregular hours as needed. Must be able to conduct physical inspections and security patrols.

      Working Conditions:

      • Full-time position with occasional evening or weekend work required.
      • On-call availability for emergencies outside of regular working hours.
