      In compliance with applicable State regulatory authorities, COVID-19 vaccination is mandatory for all MSK staff. Staff are considered fully vaccinated upon completion of a primary vaccination series for COVID-19 (i.e., one dose of a single dose vaccine or a final dose of a multi-dose vaccine series). Exceptions from the COVID-19 vaccine requirement are permitted for those who request and receive an approved medical or fully remote exemption. Requests for medical exemption can take up to two weeks to review. Vaccination or an approved medical exemption is required to start work.

      Note: Individuals are eligible to receive a COVID-19 booster two months after completion of a primary vaccination series for COVID-19. Because vaccine-induced immunity can wane over time, MSK continues to strongly urge all staff to get a COVID-19 booster as soon as they become eligible to maintain their protective immunity for a longer period.

      Job Description

      We are seeking a Senior Executive Assistant to provide high-level and diversified administrative to our inaugural Hospital President.

      This is a fantastic opportunity for someone with proven administrative and executive support experience who is aligned with MSK's vision, mission, and values. In addition to calendar management and coordination, you will build relationships and work collaboratively across all parts of the institution, and interact with board members, donors, affiliated hospitals, universities, and external organizations.

      You will:

      • Manage time commitments by planning and scheduling meetings, calls, travel, and conferences accordingly
      • Protect calendar from unnecessary and conflicting demands by prioritizing requests, recommending alternative options, and determining necessity of attendance
      • Ensure that meetings and calls initiated are well organized and arranged to accomplish objectives including identified resources, recommendation of relevant attendees, and logistics coordination (place, food, equipment, transportation, lodging)
      • Draft and edit emails and prepare correspondence e.g., agendas, meeting materials, files, and decks
      • Proactively identify and compile appropriate briefing and background materials in advance of meetings and upcoming commitments
      • Develop meeting minutes and recaps. Additionally, assist with planning, information, and logistics support
      • Handle phone calls and visitor flow in an effective and sensitive manner
      • Resolve inquiries and fulfill requests using knowledge of initiatives and programs. Exercise judgment in all interactions
      • Coordinate the flow of daily correspondence and inquiries, including resolving and monitoring high-priorities and deadlines
      • Handle dissemination of a wide range of information to parties within MSK and externally. Material may be of a critical, confidential, and time-sensitive nature.
      • Recommend and implement administrative processes and tools to ensure optimal workflows, communication, and efficiency
      • Function as a knowledgeable user related to various communication tools, equipment, and software used. Resolve routine problems and coordinates the resolution of more complex items
      • Prepare/oversee the submission and follow-up of check requests, purchase requisitions, work orders, expense reports, and other forms for approval
      • Handle all travel arrangements and detailed plans
      • Provide project assistance to the leadership team as needed
      • Potentially assist with annual operating, capital, and salary budget preparation

      You are:

      • Confident in multi-tasking and navigating a variety of critical tasks
      • Capable of anticipating and stabilizing needs
      • Flexible in your approach and demeanor to align with shifting demands
      • Eager to take action and accept new opportunities and challenges with high energy and enthusiasm
      • Able to operate effectively, even when things are not clear, or the way forward is not obvious
      • Discrete and operate with the utmost confidentiality due to the nature of information and materials
      • Able to work well with others and seek opportunities to provide assistance where needed
      • Organized and can simultaneously prioritize multiple priorities

      You have:

      • 5+ years of dynamic and reliable administrative support experience, including support to one or more leaders, executives, or chairs
      • Proven success collaborating with leadership in current and previous support roles
      • Outstanding attention to detail, excellent communication skills, and the ability to interact across all levels in a confident, professional manner
      • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), Zoom, and Workday. Eager to learn new tools to better support operations, communication, and collaboration.

      *This role will be on-site Monday-Friday at 1275 York Ave and other MSK buildings/sites as needed.

      Pay Range: $96,800.00-$154,900.00
