      Senior Facilities Administrator

      Location: Vilnius, Lithuania

      Position Summary:

      We’re seeking a Senior Facilities Administrator to oversee real estate operations, workplace services, and facilities management across multiple sites. This role ensures safe, efficient, and cost-effective environments while supporting business continuity and long-term real estate strategy. The ideal candidate brings deep expertise in vendor management, lease administration, space planning, and cross-functional coordination, with a strong focus on compliance, sustainability, and operational excellence.

      Responsibilities:

      Receptionist tasks include:

      • Main contact for colleagues/vendors/building admin regarding facilities, admin and real estate
      • Managing/providing access-entry cards and parking.
      • Receiving & sending out packages
      • Guest management within the office
      • Communicating relevant info to LT colleagues
      • greeting and navigating new colleagues
      • working with office lead/local IT to improve inside processes and the office itself

      Facilities tasks include:

      • Managing office/kitchen supplies for offices in the Vilnius & Kaunas
      • Managing cleaning vendor and handyman to ensure office is up to standard
      • Maintaining record of colleagues seating plan
      • Raising Purchase Requisitions in EMEA
      • Assisting HR with Health & Safety aspects of the office
      • Assisting with the office move
      • Travelling to Kaunas once a week
      • answering/fulfilling inquiries from both local and other colleagues
      • logistics regarding parcels and colleague needs
      • working with workplace and branding colleagues and fulfilling requests

      Real Estate tasks include:

      • Assisting Real Estate Manager EMEA/AP.
      • Reviewing lease documents, creating finance cheat sheets and raising purchase requests.
      • Attending project meetings, acting upon tasks assigned.
      • Overlooking invoices

      This role:

      • is an individual contributor role.
      • is a full-time role expected to work 40 hours per week.
      • Expected to go to Kaunas office once every 2-3 weeks.

      Qualifications:

      • 2-3 years of experience in Office Administration and/or Facilities.
      • Professional fluency in English and Lithuanian is required.
      • Must possess a courteous and professional manner and be able to deliver a high level of customer service, having the confidence and ability to communicate effectively at all levels.
      • Able to work independently (manager is remote)
      • Highly organized and analytical.
      • Excellent attention to detail.
      • Demonstrates a “can-do” attitude.

      Please note if you are employed full-time, the salary for this position ranges from 2000 EUR gross (before taxes-Lithuania) depending on knowledge and experience.
