      About the Program

      Abt PNG Management Services is a shared services platform supporting five programs based in PNG.

      The five programs include:

      • Australia PNG Economic Partnership (APEP)
      • Australia PNG Subnational Program (APSP)
      • PNG-Australia Transition to Health (PATH)
      • PNG Partnerships for Improving Education (PIE)
      • PNG Women’s Lead (PNGWL)

      The Abt PNG Management Services departments support the delivery of the above mentioned Abt Programs through corporate services functions across seven teams including Finance and Travel, People and Culture, Procurement, Grants Management, Legal and Contracts, ICT, Facilities and Logistics and Safety and Security.

      About the Opportunity

      This role is responsible for the management and operational delivery of all aspects of day-to-day minor procurement, logistics and asset management support across the PNG programs.

      Key Responsibilities

      • Manage all minor procurement activities in accordance with the Commonwealth Procurement Rules and the company’s policies and procedures.
      • Ensure tickets logged in the Procurement ticketing system are assigned to team members and managed efficiently and updated in a timely manner
      • Provide leadership and supervision to the Minor Procurement and business support staff including performance reviews and capacity development
      • Supervise and manage inventory of office supplies including stationery and kitchen supplies
      • Supervise and manage the reception area, meeting rooms, catering orders, and office postal mail
      • Provide support to provincial offices for Logistics & Minor Procurements requests.
      • Monitor open purchase orders monthly, and ensure supplier invoices are billed in a timely manner for payment
      • Manage, replenishment and reconciliation of monthly pre-paid phone credits.
      • Monitor and track monthly recurring operational costs such as phone, internet services, and rentals.
      • Manage and monitor the program’s Asset Management System including data entry, updating and auditing.
      • Manage and process insurance claims for missing/stolen/damaged assets and disposal according to the organisations policies and procedures.
      • Maintain positive and productive relationships with key stakeholders including the various program executives, suppliers, contractors, key delivery partners and service providers.
      • Provide instruction and guidance to program staff and advisors during orientation and throughout their involvement with Abt Associates.
      • As a senior member of the leadership team, lead in the continuous improvement of customer service and quality services across the programs.
      • Other duties as required.

      Specific Deliverables

      • Meet Key Performance Indicators, keeping staff abreast of progress as required
      • Update managers on the progress of their procurement activities as required and on an ongoing basis
      • Procurement records: maintain JIRA ticketing platform for effective recording of statistics and/or other records on a daily basis and in real time
      • Key procurement documents including policies and procedures are utilised and socialised with users.
      • Ensuring operational support to all PNG program units is timely, responsive, and undertaken within the principles of Value for Money approach.

      About You

      For applications to be considered, a response to the key selection criteria below must be provided:

      • At least 3-5 years in a supervisory role in procurement and/or logistics
      • Must be proficient in using a computer and data entry and analysis in Asset Database and Excel to analyse data.
      • Strong team leadership skills
      • Excellent communication skills
      • Self-starter and eager to find solutions.
