Strategic Enrollment | University RegistrarThe Senior Registration and Records Specialist in the Academic Records unit of the University Registrar’s office functions as the team lead for the unit. Develops and maintains a thorough knowledge of academic records policies, processes, and functions; serves as content expert. Collaborates with the campus community, including staff, faculty and students, to identify and address academic record issues and needs. Performs maintenance to individual student records which will include actions such as degree program updates, corrections and maintenance, processing enrollment transactions, grade verification and maintenance, posting academic record actions, term withdrawals, tuition and fee adjustments, managing reclassification of residency status for tuition purposes, and actions needed to create or maintain transcripts and process enrollment and degree verifications. Performs maintenance to setup tables within the Student Information System (SIS), to include actions such as managing academic calendar and term dates and deadlines, maintaining set up tables for residency calculation and access to reclassification, fee adjustments, user access and security, the creation and maintenance of and access to student groups and milestones; provides comprehensive processing support for daily operations, adapting to needs of workflow and volume; designs and administers systems training on student records functions in the SIS; Coordinates and produces documentation of procedures, training materials and staff resources; Ensures accuracy and relevance of unit processing documentation; Queries databases for quality control, maintenance and troubleshooting. Coordinates identification and documentation of business requirements, testing and implementation of academic records projects.
Serves as the lead resource to others in the unit, providing guidance, daily management and oversight of area processes and functions; Coordinates with team to resolve business process and workflow issues and offer recommendations to improve processes. Ensures appropriate cross-training within the unit to facilitate efficient coverage; Develops training programs for internal staff and serves as lead trainer for all area functions; Consults with the Assistant Registrar to track and address staff needs, quality of work, assignments, and objectives within Academic Records.
Serves as the back-up in the Assistant Registrar's absence. Acts in place of Assistant Registrar to coordinate and respond to escalated issues; communicates internally and externally on behalf of the Registrar and members of the management team. Represents the Academic Records area and/or Assistant Registrar at various meetings on and off campus as needed; communicates effectively and professionally with internal and external partners to research and resolve escalated cases. Performs other duties and special projects as assigned.
Qualifications
Required:
Bachelor's degree or equivalent combination of education and experience. 4 years of experience in higher education. Ability to think critically and make independent decisions, collaborate within a team, and communicate effectively. Flexible and able to manage multiple projects and priorities simultaneously in a fast paced, high-volume environment.
Desired:
4+ years of experience in higher education preferred. Experience with Microsoft Office applications. Evidence of understanding and adherence to FERPA guidelines. Experience and familiarity with Oracle PeopleSoft. Experience with student data reporting, data analysis and database maintenance; creation and utilization of spreadsheets; development and maintenance of web applications and processes; strong organizational and problem-solving skills. Considerable customer service experience preferred, with superior communication skills.
Additional Information:
The pay range for this job profile is $46,100 - $61,500. The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications.
