      Position Summary

      Responsible, among other tasks, for the negotiating and issuing of Incoming Subawards, preparing modifications to existing Subaward agreements, compliance and finance checks, integrity and reporting of the data in the grant management systems of the Office of Sponsored Research Administration.

      Job Responsibilities

      • Develops the Subaward agreement prior to returning feedback to the Prime Institution. Reviews final Subaward documents.
      • Upon completing negotiating and executing agreements, responsible for post-award duties, including, among others, award processing budget review compliance checks and account creation.
      • Reviews and/or drafts modifications to subaward agreements and initiates purchase order commitments in financial system to encumber funds against grants.
      • Ensures subrecipient monitoring as required by Circular A-133 is adhered to. Utilizes current systems, reports and tools to facilitate the subrecipient monitoring process.
      • Assists with audits and escalates areas of non-compliance as needed.
      • Responsible for data input into the Grants Management System for the record of agreements worked on, including any cleanup needed.
      • Takes a lead role in ensuring timely turnaround times of executing these agreements. Runs and analyzes metrics reporting on subaward turnaround times.
      • Reviews budgetary information and other compliance related matters regarding the Subaward and provides counsel and feedback as needed to the department to rectify any omissions or errors.
      • Works with Risk Management and other external offices to perform risk assessments when necessary. Obtains audit reports from the Subawardees at the time of executing the new/modifications of the Subawards.
      • Participates in standard operating procedure maintenance and modification to address changes in workflow and/or problematic areas. Assists in the development and improvement of workflows, systems and hand-offs.
      • Supports the sponsored research quality assurance program throughout the grant life cycle.
      • Performs other related duties as assigned.

      Education

      • Bachelor's Degree

    Experience

    Two years of related experience in research administration, preferably in an academic setting with a working knowledge of OMB circulars A-21 and A-133 with a familiarity of the Federal Acquisition Regulations.

    A basic knowledge and familiarity with subcontracting principles and procedures.

    Experience negotiating research grant and contract clauses suitable for a university.

    Approximately 4+ years of data quality assurance/audit experience.

    Understanding of research administration. Institutional research experience a plus.

    Healthcare knowledge-clinical setting, administration or operations. Research Integrity (Conflicts, IRB, DSMB, IBC, IACUC, etc.) policy knowledge. Database experience a plus (Tableau/Power Bi etc.).

    SAP experience a plus.

    • Strong customer service orientation; excellent organizational skills; proficiency in verbal and written communication skills; ability to reconcile differing viewpoints to ensure organizational goals are met.
    • Demonstrated strong communication and interpersonal skills; demonstrated ability to interact with multiple constituencies and exercise "people skills".
    • Ability to set priorities to accomplish goals; ability to exercise sound judgement and to coordinate the complexities of grant/subaward administration.
    • Demonstrated computer proficiency including advanced Excel skills - complex formulas and pivot tables; PowerPoint; Word; and Access.
    • Ability to meet multiple deadlines and handle multiple priorities.
    • Demonstrated knowledge of subawards under Federal Assistance Awards.
