      SUMMARY:

      The Senior Supply Clerk is responsible for performing duties for the Engineering Services Department and for supporting the Dewey Plant as necessary.

      SPECIFIC DUTIES:

      Qualifications

      1. Ability to read, write, and speak English Language.
      2. Ability to read and prepare a variety of documents including contractor orientation, MAINTelligence data, and other office correspondence.
      3. Ability to interact and communicate with other associates, contractors, vendors, and others while exhibiting poise, voice control, and confidence.
      4. Proficient in PC hardware components, desktop operating systems software, application software, and Microsoft office software.
      5. Able to work with minimal assistance and direction on a broad variety of tasks and projects.
      6. Able to coordinate and communicate necessary information with contractors with various backgrounds.

      MAINTelligence

      1. Review all orders for proper approval and work order number.

      2. 2. Enter work requests with details referencing the source and requestor.

      3. 3. Print open work orders for contractor groups.

      4. 4. Enter purchase requisitions into MAINTelligence.

      5. 5. Link important documents to any module in MAINTelligence.

      6. 6. Assign the proper spending code to purchase orders.

      7. 7. Update/Enter part cost information.

      8. 8. Update/Enter Supplier information.

      9. 9. Capture all work order cost using the “miscellaneous” tab in the work order.

      10. Submit and complete required forms to add an approved vendor.

      11. Code detail line items on each Austin and T& F Insulating invoices.

      12. Input purchase requisitions for Austin and T&F Insulating and submit for approval.

      13. Update equipment run hours.

      Contractors

      14. Maintain and update all active contractor and contractor company records. Certificate of insurance, drug test results, contractor orientation records, test results, etc.

      15. Conduct safety training for all contractors.

      16. Update contractor badges in Facility Commander.

      17. Maintain and update contractor training presentations and testing materials.

      Accounting

      18. Assign proper cost centers for orders and work orders.

      19. Assign purchase to the proper account. Capital vs. G&A vs. COGS.

      20. Update and maintain corporate cards in SRM and Coupa.

      21 Reconcile department Procurement card purchases.

      22. Update Steam Cost Analysis each period.

      General

      23. Maintain conference room reservations/meetings as directed.

      24. Execute minimum level reorders for MRO parts.

      25. Order MSC supplies for MSC vending machine.

      26. Enter PO’s into SRM and/or Coupa.

      27. Follow order progress through SRM and Obtain PO number when requested.

      28. Update Energy spreadsheet & charts, email distribution daily.

      29. Update attendance records for ESD associates.

      30. Update and maintain all associates access to MSC vending machine.

      31. Update equipment run hours.

      32. Maintain Permits files.

      33. Maintain and update Archive files.

      34. Properly scan and file technical, regulatory, other documents for Engineering Department.

      35. Complete general typing requests.

      36. Demonstrate knowledge of other Administrative Associate job functions. These functions will be determined on an “as needed” basis.

      37. Participate in Plant OFI process.

      38. Participate on a safety team.

      39. Attend annual safety training.

      40. Update, maintain, and distribute ESD safety meeting minutes as required.

      41. Provide administrative support to ESD management when requested. Service all ESD associates with department needs.

      42. Coordinate meals/events for associate/dept.

      43. May be required on occasion to pick up plant supplies, etc. from various suppliers and vendors utilizing personal vehicle.

      44. Understand environmental policy, objectives, and programs, and comply with all aspects of the Environmental Management System.

      45. Follow all plant procedures to ensure no negative impacts on the Environment, Health, Safety, and Responsible Care processes of Milliken Chemical.

      46. Perform additional duties as requested by the Engineering Services Leader, Engineering Services Engineers, Project Engineers, or the Plant Manager.

      47. Scan and file associate training documents.

      48. Scan and file left and vehicle inspections.

      49. Scan and enter Inspection reports.
