      Education:

      High School Diploma. Formally trained or relevant experience in computer office software.

      Department Position Summary:
      The Shared Services Specialist will provide support for the entire HR operation to include the Talent Acquisition, Benefits, Compensation, Employee Relations, and HRIS departments. He/she will be responsible for accurate and timely data entry of new hires and personnel status changes to ensure data integrity and that all critical deadlines are met. The Shared Services Specialist will provide critical analysis of individual transactional events to determine proper coding for the appropriate effect on the employee record. He/she will participate in data entry projects pertaining to biweekly payroll, new acquisitions, annual open enrollment, continuous licensure updates, and special projects for HRIS.

      The Shared Services Specialist will assist managers and other customers with questions regarding employees, candidates, job requisitions, PSN submissions, HR forms, and business processes. He/she will act as a liaison between managers, employees, and other members of the HR/OD team to troubleshoot and resolve issues. The Shared Services Specialist will research and correct data entry discrepancies and errors as necessary to ensure accuracy of the employee record. He/she will scan various paper documentation and link to the appropriate employee file for record preservation. He/she will also assist during new hire orientation with gathering and scanning appropriate identification documents, helping new associates with completion of their I-9 and other forms, as well as completing the E-Verify process.

      The Shared Services Specialist will provide back-up support for the Talent Acquisition Specialists as needed, including but not limited to: initiating background screens for candidates including criminal history, references, education and licensure verification, medical sanctions, abuse registry, etc.; scheduling pre-employment physicals and orientation dates; communicating with the recruiter, hiring manager and Organizational Development regarding the new associate's orientation timelines; and assisting the new associate with onboarding portal completion.

      Other responsibilities include attending career fairs/seminars as needed, providing back-up support for the HR receptionist, and assisting with audits and special projects.

      The Shared Services Specialist must present himself/herself in a professional manner and work as a liaison with different levels of personnel internal and external to the organization. The goal at all times is to be customer focused and present a positive manner.

      He/she should exhibit exemplary telephone etiquette and possess excellent customer service and communication skills. Demonstrates knowledge of computer software such as Windows, Excel, Word and PeopleSoft. Enters and edits data accurately utilizing PeopleSoft and Taleo. Exemplifies good organizational and administrative skills and appropriately prioritizes work. Ability to work well under pressure and to meet tight deadlines. Exhibits a positive attitude and maintains a professional demeanor when confronted with adversity. Ability to handle confidential information in a professional manner. Positively demonstrates and promotes team spirit.
