      Job summary

      As an SPA Administrator, you will provide an excellent customer experience for patients and professionals contacting the Single Point of Access (SPA) by telephone, by email and by post, as the first point of contact to HCRG Care Group Services in Bath & North East Somerset (B&NES). The administrator will support the effective filtering and directing of telephone calls and correspondence for Bath & North East Somerset (B&NES) Childrens Community Services and where required, with partner organisations. This post will also support the wider business support function in providing administrative and organisational support across the full range of office and service activities.

      This is a demanding role requiring high levels of administrative and communication skills and the ability to work proactively as part of a team.

      Based in Kempthorne House, St Martins Hospital working 37.5 hours per week, with some flexibility for home working.

      Main duties of the job

      This is a demanding role requiring high levels of administrative and communication skills and the ability to work proactively as part of a team.

      Responsibilities will include:

      • Work as a crucial part of a team who answer a high volume of incoming calls from parents and service users
      • Providinginitial screening of all referrals into the Single Point of Access (SPA) from GPs, Service Users, Parents, Carers and other partner organisations
      • Direct and prioritise incoming referrals to the relevant professionals and remedy any incorrect referrals at source
      • Work with clinical colleagues to ensure patients are efficiency directed to the correct services in a in line with agreed ways of working
      • Action call backs to referrers to ensure appropriate information is obtained, ensuring a high-quality referral
      • Accurately and confidentially record all referrals for service users and carers on various client information systems.
      • Signpost to the public with information on HCRG Care Group and alternative services provided by other statutory and voluntary agencies
      • Collate, book, and send information and appointment letters to patients
