      To establish a list of eligible candidates that will be used to fill full and part-time, permanent and substitute assignments, for the duration of the list, up to one year. The anticipated vacancy is a 12-month, full-time (8 hours/day) position located at the District Office in Simi Valley, CA.

      APPLICATION DEADLINE: Completed applications must be submitted no later than 11:59 p.m. on May 14, 2024. Late applications will not be accepted.

      TESTING PROCESS MAY INCLUDE:
      A) Training and Experience (T&E) Evaluation = Qualifying (pass/fail)
      B) Multiple Choice Test = 40% weighting on final score
      Tentatively scheduled for May 22, 2024.
      C) Structured Interview = 60% weighting on final score
      Tentatively scheduled for the week of May 28, 2024.

      Applicants must meet the minimum qualifications stated in the job posting by the application deadline in order to move forward in the testing process. Those candidates who meet the minimum qualifications will be invited to the multiple choice test. Those with the highest scores on the multiple choice test will be invited to the structured interview. Those who pass the structured interview will complete a computer applications test administered online. The testing process is subject to change as needs dictate. All communication regarding this process will be delivered via email.

      Summary
      Under the general supervision of an assigned supervisor, performs a variety of complex technical and specialized duties pertaining to the management and reporting of the district's special education student data.
      • Reviews submitted student individual education plans (IEPs) for completeness and compliance with state, federal, and district rules and regulations governing special education program requirements; investigates and corrects errors and missing information to ensure accurate and compliant IEP data into the special education data management system.
      • Audits special education student data entered by others to identify, investigate, and correct errors in data (e.g. inaccurate codes, mismatches, duplicates, etc.) and ensure that data entered in the special education data management system matches data in the district student information system; follows up with appropriate parties (e.g. case managers, program specialists, psychologists, speech therapists, information technology staff, school site staff) to identify reasons for discrepancies and obtain missing and corrected data.
      • Establishes and enforces data entry standards and continuously monitors data entry into the special education data management system to maintain accurate special education student data and ensure that IEP-related meetings are conducted and finalized in accordance with established timelines; follows up with appropriate parties as necessary to ensure that meetings are conducted and recorded in accordance with established timelines.
      • Submits special education data from the district special education data management system to the state student data management system (CALPADS); investigates and corrects errors reported to the district by CALPADS.
      • Runs data queries to create internal (e.g. case lists, student demographics, miscellaneous information requests) and external (e.g. state and federal) reports for a variety of purposes such as assisting with the assignment of caseloads, tracking IEP deadlines, following up on past due evaluations, and ensuring compliance with reporting requirements; creates and provides simple and straightforward queries to end users.
      • Serves as the functional lead for the special education data management system and provides user support and troubleshooting to users district-wide to resolve basic issues; contacts software providers for advanced troubleshooting.
      • Researches and responds to inquiries pertaining to special education data practices, policies, and procedures.
      • Enters special education student information data into the district special education data management system and student information system.
      • Provides training and instruction to others on special education database systems and data entry standards and procedures.
      • Attends a variety of meetings, trainings, and workshops to maintain up-to-date knowledge of special education program and data reporting requirements to ensure district compliance.
      • Performs a variety of clerical support duties such as scheduling meetings, preparing and distributing documents and materials, and creating and maintaining files and records.

      A high school diploma or equivalent AND three years of experience recording and maintaining data in an electronic database and preparing technical reports, preferably including experience with special education student database systems

      An associate degree, preferably with coursework in management information systems or a related field, AND two years of experience recording and maintaining data in an electronic database and preparing technical reports, preferably including experience with special education student database systems
      OR
      A bachelor's degree, preferably with coursework in management information systems or a related field, AND one year of experience recording and maintaining data in an electronic database and preparing technical reports, preferably including experience with special education student database systemsQualifications
