      Summary of Primary Function/General Purpose of Position
      The Special Events Coordinator serves as a liaison to local foundation offices to provide event planning services for Foundation special events. Foundation events are those designed to generate fundraising revenue and/or to cultivate or steward donors. The Special Events Coordinator will work with a wide variety of internal and external contacts to plan and execute successful events and assist market foundation teams with solicitation of sponsorship funds to achieve foundation goals of philanthropic support.

      Essential Job Functions
      • Design, develop and execute all event planning/logistics for a successful outcome, including development of special event collateral/marketing materials and public promotion of special events to the appropriate audiences.
      • Prepare planning documents for each event, including event objectives/desired outcomes, logistics details and timetables, and event communications plans.
      • Develop event budgets and monitor income and expenditures for each event.
      • Develop event related direct mail, individual proposals, and assist market foundation teams in soliciting gifts for sponsorship. Manage direct mail functions in coordination with Data Solutions staff members for list preparation, recording of actions and responses and reporting.
      • Manage events through the Raiser’s Edge Events module in the donor database. Work with Data Solutions team which will process, receipt and acknowledge gifts and sponsorships for events.
      • Coordinate the production of committee reports, agendas, meeting arrangements, correspondence, and other committee support.
      • Work with local foundation teams to develop event briefing/debriefing materials. Provide foundation leadership with event statistics, when appropriate; maintain updated calendar of all events and provide details as required. Complete an evaluation report after each event with outcomes against objectives, revenue, expense, cost to raise a dollar, participation, growth, and other measures of event success.
      • Assist markets with execution of Associate Campaign activities

      Employment Qualifications

      Required Minimum Education:

      High School/GED

      Preferred Education:

      Bachelors

      Field of Study

      Communications, public relations, hospitality management, business

      Licensure/Certification

      None

      Work Experience:

      Minimum Years and Type of Experience Required:

      2-3 years of experience in event planning and volunteer management work experience. Non-profit environment experience desirable.
