      Primary Purpose:

      Oversees the logistics of rental and other Museum events on the day of the event. Acts as the Manager on Duty during events.

      • Staff and Vendor Coordination - exhibits effective staff and vendor coordination by clearly communicating expectations, ensuring everyone understands their roles, and facilitating smooth collaboration.
      • Problem Resolution -exhibits effective problem resolution by quickly identifying issues, analyzing potential solutions, and implementing the best course of action. They remain calm under pressure, communicate clearly with all parties involved, and ensure that problems are resolved efficiently to minimize disruption to the event.
      • Event Coordination Efficiency- exhibits event coordination efficiency by meticulously planning and organizing all event details, streamlining processes, and ensuring that tasks are completed on time. They prioritize tasks effectively, delegate responsibilities appropriately, and use resources wisely to achieve smooth and successful event execution.

      Essential Functions:

      Respect

      • Ensures that the artist and their team have everything they need, addressing any last-minute requests and coordinating with Museum staff to ensure a smooth setup.
      • Customer Service: Assist guests and ensure a positive experience.

      Open

      • Event Planning: Plan and coordinate event logistics.
      • Vendor and Staff Coordination: Ensure work orders are executed correctly.

      Growth

      • Conducts regular inventory checks of event supplies and coordinates with the maintenance team to ensure all equipment is in good working order.

      Dynamic

      • Facility Management: Oversee maintenance and equipment.
      • Emergency Response: Handle emergencies and ensure safety.
      • Additional Duties: Perform other assigned tasks.

      Vendor Coordination

      • Work with vendors to ensure smooth operations.

      Policy Compliance

      • Ensure adherence to museum policies.

      Problem Resolution

      • Identify and resolve issues promptly.

      Event Coordination Efficiency

      • Organize event details and streamline processes.

      Required Education/Experience:

      Education:

        • A High School diploma or equivalent is required.
        • A BA/BS degree is preferred.

      Experience:

        • Previous work experience in customer service and/or hospitality is required.
        • Event management experience is strongly preferred.
        • Experience with theatre equipment is a plus.

      Skills:

        • Highly organized and detail-oriented.
        • Excellent communication and presentation skills.
        • Proficient in the use of MS Office, including Word, Excel, and Outlook.
        • Ability to manage multiple tasks simultaneously and juggle multiple, competing priorities.

      Working Conditions:

      The hours for this position will vary week to week based on the schedule of events, work will include evening and weekend hours.

      Physical Requirements:

      • Lifting and Carrying: Must be able to lift and carry awkward items weighing up to 50 lbs., including navigating stairs.
      • Physical Activity: Requires intermittent standing, walking, sitting, squatting, stretching, and bending throughout the workday.
      • Sensory Abilities: Must be able to see and hear, or use prosthetics that enable these senses to function adequately to meet the position's requirements.
