SUMMARY The Data Records Coordinator is the data management hub necessary for the admissions office to perform its essential functions . This position serves as the primary processor of mailings, emails, and other communications. He/she serves as the primary database manager for the admissions office as well as interfacing with other departments of the law school. This includes continuous processing and upkeep of prospective student and applicant data, scholarship reporting, and reporting data for the ABA
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following.
Perform continuous processing and upkeep of prospective student, applicant, and admitted student data in UNITE using Excel features such as PivotTables and charts in data management and in generating reports meeting varied data integrity needs of different campus partners; perform data transfer for all matriculated students from admissions system to Banner.
Manage communication plans by employing Excel and other system to extract, transform, and load data across database management systems with varied formatting requirements to support yield, recruitment, and effective mass messaging to prospective and admitted students.
Continuous upkeep, maintenance and revision of large volume data and data management procedures by identifying and addressing data inconsistencies through immediate action or by implementing enduring processes. Exercise varied software skills consistently to manage applicant data in a systemic, consistent, efficient manner.
Assist in managing high-volume, varied, and complex questions from prospective and admitted students via the departmental email address. Candidate must nimbly implement & maintain systems for effective processing of departmental emails and resultant tasks despite large volume, competing tasks, and time constraints.
Manage scholarship processes and notification in coordination with the Assistant Dean of Admissions.
Managing the admissions process with the CARE Team.
Manage outgoing reporting to EAB and MF Digital via the SFTP set up and ensure data is accurate and timely.
Works closely with the Student Services, Accounting Services, and IT teams to assist admitted students with the registration and financial aid process to ensure a smooth transition from a deposited student to enrollment.
Assist with recruiting, training, and supervising Student Ambassadors and Seasonal Recruiters as well as managing the booking system.
Actively participating in and contributing to the planning and implementation of admissions events.
Assisting with the implementing of fall and spring orientation for new students.
Assisting with special projects assigned by the Assistant Dean for Admissions and the Associate Director of Admissions.
Possible minimal local travel and occasional evenings to assist with events on campus.
Actively contributing to improving the admissions operations at South Texas.
Complies with all aspects of the law school’s Customer Service Standards.
Other duties as assigned.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Possess the ability to take initiative, prioritize with minimal supervision, and work independently with ability to seek guidance when appropriate. The ability to maintain paper and electronic files and manage data.
Candidate must be knowledgeable and proficient with MS Suite. Candidate must be knowledgeable in using formulas and features of Excel in data wrangling (e.g. cleaning, consolidating, and verifying accuracy of data). Candidate must poses the ability to navigate database software to locate, sort, filter, and edit entries and maintain data integrity. Knowledge of and/or experience with Baner and UNITE is preferred but not required.
EDUCATION and/or EXPERIENCE
Bachelor's degree (B. A. or B.S.) required. Minimum of at least 2-3 years work experience in a professional role within higher education student services (e.g., Admissions, Financial Aid, etc.) or in a related professional service environment . Experience in a data management or in an administrative support role is required; experience in an academic setting working with student data is preferred.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, faculty, prospective students, other clients, and the general public .
MATHEMATICAL SKILLS
Ability to perform basic math essentials.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Being detail orientated, having strong organizational skills, and having the ability to multi-task is imperative.
CERTIFICATES, LICENSES, REGISTRATIONS
Must have valid Texas Driver's License and acceptable driving record.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is regularly required to stand and walk. Occasional light to moderate lifting from floor level, at waist, and above shoulders required. Infrequent bending and stooping necessary. Specific vision abilities required by this job include close vision in order to accurately input data and proofread; distance vision in order to recognize and assist visitors to the department.

Fast paced, multi-tasking, non-smoking work environment. Must be able to work the general business schedule of the Law school (9:00 a.m. to 5:30 p.m.) plus occasional evenings and weekends as necessary.
