      Wealth management Operations

      Purpose

      The Senior Registered Plans Administrator is accountable for the various processes and procedures relating to Scotia Capital and SPCG (Scotiatrust) business lines operations of the various registered products offered including among others: Registered Retirement Savings, Registered Retirement Income Plans, including Locked-In plans. The incumbant’s primary focus will be to process Estate files for the various business lines servioced by Wealth Management Operations. This includes but not limited to SPCG (Client 191), Scotia iTrade and ScotiaMcLeod.

      Additional focus will be on Income Plans for all business lines as additional support to those Registered Plans staff currently processing these transactions.

      The incumbent must focus on ensuring that the various requirements are done to the highest standard as per regulatory requirements under the Income Tax Act (overseen by Canada Revenue Agency), various provincial acts and other regulatory bodies.

      Major Accountabilities:

      Estate files processing: The incumbent will be responsible for the processing of registered plans estate disbursements for the Scotia Private Client Group (SPCG- client 191, Scotiatrust) and Scotia Capital Inc. (ScotiaMcLeod and Scotia iTrade). The incumbent requires extensive knowledge of estate processing requirements of the various federal and provincial rules governing estate disbursement; including tax reporting requirements. The incumbent will require general knowledge of the Broadridge PLAN system, and specifically knowledge of the estate processing in the PLAN system.

      The focused duties of the position include (but are not limited to) the following:

      1) Ensure all documentation requirements are followed for disbursements as per applicable federal and provincial legislation, and firm policy requirements. Failure to do so may result in liability to the Bank for incorrect disbursements.

      2) Process on a timely basis estate disbursements based on Service Level Agreement.

      3) Ensure all PLAN system screens are populated with correct disbursement details for tax reporting.

      4) Complete any required manual tax reporting and tax slip/document issuance within regulatory timeframes.

      5) Complete required “past exempt period” T3 Trust income calculations for estate accounts in that category.

      Income Plan processing: The incumbent will be responsible for supporting the Registered Products department for income plan payments in absences (illness/vacation) and support in a back-up capacity during times of high volume and absences (illness/vacation). This will cover all business lines (ScotiaMcLeod, SMDI, Trade Freedom, iTrade, and SPCG).

      Front-facing communication to the field and Scotia iTrade clients: The above functions will require the incumbent to be responsible for the front-facing direct contact with the field and Scotia iTrade clients. This will require excellent communication and interpersonal skills, both verbally and in written form. The incumbent will also be required to be familiar with Registered Plan information for policies and procedures on Wealthnet to accurately respond to inquiries. Incumbents are expected to reply within set timeframes with replies consistent to firm policies and/or legislative rules.

      Analyze, resolve problem items: For problem issues brought to the incumbent’s attention from the field, the incumbent should analyze problem, propose best solutions and take action on corrections as agreed to by the field. If required raise issues/proposed solutions to their Assistant Manager or Manager for further review or actions. Response is expected within set time frames

      Projects and On-Going Support: Adhoc queries, TFS (Tax Form System)- Tax Support, other duties and administrative support as assigned/required.


      Functional competencies

      The incumbent will be required to have the following competencies:

      Ability to manage multiple tasks, priorities and projects
      Must be self-starter and independent, task oriented, to work with minimum supervision based on guidance from management.
      Familiarity with the Broadridge PLAN system as well as the required regulations (federal and provincial) which govern estate disbursements from registered plans; including the tax reporting of such disbursements.
      Strategic and analytical attributes.
      Excellent communication and interpersonal skills;
      Business education and/or investment industry experience
