      Job Description

      Position Summary

      The Tenant Coordinator oversees the end-to-end tenant build-out process, serving as the primary internal contact from deal approval through store opening and post-occupancy. This role ensures all design, construction, and turnover milestones are met in alignment with company standards, lease requirements timelines, and drives the process for early openings.

      Responsibilities

      • Establish and maintain strong relationships with tenant design and construction teams, providing guidance throughout the build-out process.
      • Serve as the central point of contact for all phases of tenant build-outs, supporting tenants and their consultants with permitting, plan submittals and approvals, construction, and turnover timelines.
      • Coordinate closely with internal teams to ensure alignment on lease terms, drawing exhibits, timing, and scope of work.
      • Review and validate lease documents, LODs, and lease plans, providing direction on necessary updates to ensure accuracy and compliance.
      • Monitor and track tenant design and construction schedules, ensuring alignment with budgets and driving early store openings.
      • Maintain accurate project updates in our electronic tracking systems to ensure real-time visibility across departments.
      • Provide Leasing with all upfront design details to support negotiations, including historical drawings, LODs, and space conditions.
      • Conduct electronic reviews of tenant concept, signage, and construction drawings to ensure alignment with company standards and center aesthetics.
      • Coordinate vacancy schedules and landlord work to enable timely turnovers; partner with development team counterparts on landlord-required work.
      • Develop and maintain comprehensive center criteria manuals and ensure ongoing process improvement through new policy and procedure implementation.
      • Establish and maintain working relationships with local authorities having jurisdiction.
      • Collaborate with cross-functional teams via regular calls and meetings to resolve tenant issues and ensure consistent execution across projects.
      • Provide experience and expertise on major initiatives within tenant coordination as needed.
      • Other duties as assigned.

      Qualifications

      • High school diploma or GED required.
      • Architecture, Interior Design, Engineering, Construction Management preferred.
      • Minimum of 3-5 years of experience in tenant coordination, retail design, project management, or related field required.
      • Solid understanding of construction documents, design specifications, materials, and building systems required.
      • Familiarity with national building codes, building materials and systems such as MEP systems, and life safety standards preferred.
      • Strong analytical, problem-solving, and decision-making skills.
      • Exceptional organizational and time management abilities with the capacity to manage multiple priorities.
      • Proactive, self-motivated, and results-driven with strong leadership potential.
      • Excellent interpersonal, verbal, and written communication skills
      • Ability to collaborate and negotiate effectively across teams and with external partners.
      • Proficiency in Microsoft Office Suite along with, Adobe Acrobat DCand/or Bluebeam required..
      • Salesforce and Yardi experience is a plus, but not required.

      Travel

      • Occasional travel required; less than 10%.

      Compensation

      • Salary type: Exempt

      • Pay Frequency: Bi-weekly

      • Annual Base Salary Range: $100,000 - $115,000

      • Annual Bonus: 20%
