Job Description

- Prepare and post journal entries and assist with monthly, quarterly, and annual closings
- May assist in reconciling general ledger accounts, including cash, receivables, payables, and prepaid/deferred items
- Prepare weekly student account refund requests for Accounts Payable; disseminate weekly student refunds
- Assist with the preparation of internal financial reports and year-end financial statements
- Support audit readiness through preparation of schedules, documentation, and coordination with auditors
- Ensure compliance with GAAP and FASB standards for nonprofit entities
- Assist with reconciliation of student accounts, billing adjustments, and financial aid applications as they impact general ledger balances
- Support the posting and classification of transactions related to tuition, room and board, bookstore, public safety, and other student charges with directions from the Director of Student Accounts
- Collaborate with Director of Student Accounts and Financial Aid Office to ensure accurate revenue recognition and account reconciliation
- Participate in annual 1098-T reporting and fiscal year-end student account closeout
- Help manage third-party billing entries and assist in reviewing payment plan activity
- Accept payments and/or deposits from students, parents or others relating to student accounts
- Maintain financial records and supporting documentation in accordance with internal controls and retention policies
- Conduct research and analysis for assigned accounts, including variance explanations and historical trends
- Process daily posting of A/R batches and assist with cash application, as needed
- Assist with monthly Perkins Loan servicing requirements and student refund processing
- Serve as a backup for key accounting tasks and support cross-training initiatives
- Bachelor’s degree in Accounting, Finance, or related field required
- 2–4 years of accounting experience, preferably in higher education or nonprofit environment
- Prior experience with student account functions or financial aid reconciliation is a plus
- Knowledge of nonprofit GAAP and fund accounting principles
- Proficiency in Microsoft Excel (pivot tables, VLOOKUP, etc.); familiarity with Access or similar tools a plus
- Experience with ERP systems such as Sage Intacct or QuickBooks preferred
- Strong communication, customer service, and analytical skills
- High attention to detail and accuracy, with the ability to manage multiple priorities
- Ability to handle confidential information with discretion
