Position Details
The International Programs Office (IPO) at The University of Tampa has a position for a Staff Assistant II. This position will provide support for day to day operations supporting students, faculty, staff and external constituents. This position reports to the Associate Dean of International Programs.
Responsibilities
1. Assist with budgets, expense reports and agency accounts. Monitor IPO budgets and provide periodic summaries/reports of IPO activities and financial performance including preparing purchase and check requisitions and wire transfers.
2. Manage, monitor and track the IPO student check-in/advising process.
3. Maintain office inventory and supplies.
4. Assist in preparing various reports and surveys.
5. Answer inquiries regarding education abroad, international students and IPO programs.
6. Create and process electronic forms.
7. Schedule room, media and catering requests.
8. Perform data entry and database maintenance.
9. Assist with development of web content and coordinate changes in IPO web pages with Public Information.
10. Maintain and update IPO social media sites on a regular ongoing basis.
11. Design and order promotional materials to actively market international programs on and off campus.
12. Manage and administer outcome assessment instruments and surveys related to Education Abroad, International Students and other critical office functions.
13. Plan and coordinate all scheduled meetings, events, programs, and publications for the Global Scholars Series, International Film Festival, National Geographic Speaker Series, international visitors to campus and first year abroad initiative.
14. Serve as a liaison between faculty, deans, speakers, program participants and networking partners.
15. Prepare and edit correspondences, communications, presentations, and other documents for the Dean.
16. Provide and manage staff support.
17. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.
Qualifications
1. Bachelor's degree, preferably in communication, international relations, international business, business or marketing, journalism or writing is preferred. High school diploma required.
2. Five years of professional experience working in a high paced office.
3. Two years of progressively responsible administrative support in an academic office environment.
4. Prior experience in project management (1-2 years).
5. Prior experience in event planning and designing promotional materials (1-2 years).
6. Prior experience in budgeting, managing staff support, project management, event planning, international protocol and designing promotional materials.
7. Must have experience in using project management software and know how to analyze and report data/statistics.
8. Must know how to design and compile surveys.
9. Must be familiar with Education Abroad policies and International Student regulations.
10. Excellent knowledge of budgeting processes including preparing check requisitions and wire transfers.
11. Excellent knowledge of project management software to track daily workflow and outcomes.
12. Excellent knowledge compiling and analyzing data using SPSS.
13. Excellent knowledge preparing electronic forms and designing paperless workflow.
14. Excellent knowledge designing and analyzing questionnaires and surveys.
15. Proficient experience marketing with social media and using design software such as Adobe Indesign, Adobe Photoshop, Quark, and Microsoft Publisher.
16. Excellent knowledge of Excel, Word, PowerPoint to compile reports and presentations.
17. Ability to meet deadlines and handle multiple tasks.
18. Good oral, interpersonal and organizational skills needed as well as the ability to establish priorities and manage time wisely.
19. Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office.
20. Willingness to embrace new technologies and innovative organizational practices.

Pay Rate
$20.00 per hour
Work Schedule
Work Schedule: Monday through Friday, 8:30 a.m. to 5:00 p.m.
Summer Schedule: Monday through Thursday, 8:00 a.m. to 5:30 p.m. Occasional nights, weekends and travel required.
