Job Description

- Maintains and updates files, records, and reports.
- Drafts, types & researches correspondence for reports, charts, etc.
- Maintains and updates records and files in PubWorks Software.
- Work order entry in work order software.
- Performs general administrative duties such as scheduling meetings, making appointments, taking messages, and filing.
- Communicates and interacts with the public and professional staff.
- Accesses, inputs and retrieves information and data from a computer.
- Enters and updates Sunshine 811 locates.
- Maintains and updates agenda and prepares various reports for bi-weekly staff meeting.
- Generates IT help desk tickets for Traffic Division.
- Receives, screens and routes phone calls, visitors and mail.
- Account payable Workflow
- Payroll Entry
- Checks inventory for required purchases and tracks blanket purchase order balances.
- Obtains quotes from vendors and enters purchase order requisitions.
- Tracks and prepares invoices for reimbursement claims for third party damage to County assets.
- Class E Florida Driver license.
Performs a variety of secretarial, clerical and administrative duties. Works independently under the general direction of the immediate supervisor.
Education/Experience:
High school diploma / GED supplemented by technical training in office administration or related college courses, or an equivalent combination of education and related working experience in an office environment.
Licenses, Certifications, or Registrations:
Knowledge, Abilities, and Skills:
Knowledge of office policies and procedures.
Knowledge and practice of organizational and time management skills.
Knowledge of accounting, financial planning, and budgeting.
Knowledge of word processing, spreadsheet, and database computer programs.
Ability to operate various office equipment.
Ability to understand and follow oral and written instructions.
Ability to analyze information and make judgment decisions.
Ability to use a personal computer and various computer programs.
Ability to maintain and update logs, files, and records with a high degree of accuracy.
Ability to prepare correspondence and reports.
Ability to effectively communicate, both verbally and in writing.
Ability to effectively interact and establish working relationships with staff and the public.
Ability to research documents.
Typing/keyboard skills.
ENVIRONMENTAL CONDITIONS :
Work is normally performed inside in an office environment. Field work may be required after a natural disaster such as a hurricane.
