Maintains systems and processes for the accurate deployment of adequate and appropriate clinical staff to meet patient, regulatory and fiscal requirements. Implements staffing and scheduling plans and works to adjust resource allocation to meet changing demands . Performs a wide range of data data entry duties and coordinates a multitude of office procedures in support of the activities of the central staffing office. Service Excellence, collaboration, teamwork, technical expertise, postive impact and problem solving are critical skills necessary for this position. Additional activities may be required at the request of the department and/or manager to ensure safe , effective and efficient operations of the facility. Maintains HR files, Kronos editing, orientation materials, ongoing education preparation and record keeping. Staffing/Resource Allocation: Ensures sound decision making and allocation of staffing to provide safe nurse patient ratios under the guidance and direction of the CSO management. 1.1 Uses budget staffing grids to ensure department is staffed accordingly and follows up on all open shifts 1.2 Manages all call ins for all units across the system by reporting the call in immediately to the correct contact on the unit, Initiates calls to available staff and make replacements as appropriate . 1.3 Completes the employee sick call information for accurate tracking of related points. 1.4 Aware of available staff and required competencies to assign to appropriate departments 1.5 Monitors to reduce overtime by procuring the most cost effective staff . 1.6 Follows workforce fatigue guidelines 1.7 Completes required reports per established guidelines and facilitates audit reports to assist in solution for issues and concerns 1.8 Documents accurately in all systems and cross checks to avoid error 1.9 Hand off report each shift reflects all outstanding requests for staffing and follow ups . 2. 2. Schedule Preparation 2.1 Updates staffing information with sick calls, floating and placement of CSO staff. 2.2 Prioritizes use of cost effective staff to support the system 2.3 Completes schedules and enters changes keeping all data bases up to date.. 2.4 Makes daily edits as necessary to ensure optimum performance of Kronos. 2.5 Accuracy of all work - double checking all changes before finalizing. 2.6 Facilitates adherence to system policies and procedures to ensure compliance with organizational guidelines. Ensure proper tracking of worked/ non- worked hours and direct/ non- direct hours for financial accuracy. 2.7 Identifies scheduling patterns that may be outside normal expectations and escalate to appropriate stakeholder 3. 3. Collaboration 3.1 Assures that information is communicated in a timely, sensitive and effective way; exhibiting positive behaviors with all members of the health care team. Works to create an environment that values and fosters teamwork, cooperation and respect and follows through on responses as appropriate. 3.2 Respectfully screens and directs telephone calls to the appropriate individual demonstrating the ability to determine the priority/immediacy of the communication. 3.3 Takes messages, ensuring that name, telephone number, time and other appropriate information are captured with 100% accuracy for all forms of communication. 3.4 Proactively maintains constant situational awareness in order to proactively assess and address potential issues. 3.5 Actively contributes to all department activities that support a positive work environment providing and accepting constructive feedback in the interest of improving work relationships in a professional and timely manner. 3.6 Attends and actively participates in staff meetings; accepts responsibility for reading staff meeting minutes if unable to attend. 3.7 Collaborates with staff and CSO leadership to foster an environment that values respect, positive communication, efficient and effective workflow, quality improvement and fiscal responsibility. 4. 4. Responsibilities 4.1 Follows the YNHHS attendance policy .Meets expectations for attendance, punctuality, dress code, and 3 hour notice for an unscheduled absence. 4.2 Completes all mandatory training and required health screening in a timely manner. 4.3 Assumes responsibility for continued learning, skill development and goal setting in collaboration with leaership and completes self evaluation prior to review date. 4.4 Accepts accountability for a positive collaboration and interaction with other departments, and staff ; adapting to changes in unit priorities and exhibiting maturity in all situations as necessary. 4.5 Maintains files, data and records accurately and in an organized timely manner meeting organizational and regulatory compliance. 4.6 Contacts appropriate personnel within and outside of the hospital in order to furnish or obtain information to follow up on assignments or projects. 5.7 Exercises good judgment and demonstrates flexibility by ongoing team work. 5.8 During periods of heavy work load is able to offer assistance to other workers . 5.9 Demonstrates positive interpersonal relations in dealing with coworkers and management so that departmental productivity and positive employee relations are maximized. 5. 5.
