      JOB SUMMARY

      The Lutheran World Federation, Kenya-Somalia Program - Stores/Warehouse Clerk (Open to Somali Nationals Only)


      The Department of World Service (WS) of the Lutheran World Federation (LWF) is the humanitarian and development arm of the Lutheran World Federation. WS provides support to refugees, returnees, internally displaced people, their host communities and communities at risk, focusing on livelihoods, quality services, protection and social cohesion. The Kenya-Somalia Program has been implementing such interventions in Kenya and Somalia since 1992

      The LWF Kenya-Somalia program is seeking a qualified, experienced, and highly motivated Stores/Warehouse Clerk. The Stores/Warehouse Clerk is responsible for the provision of logistical and warehouse support for the Kenya-Somalia program, at Kismayu (70%) and Dhobley (30%), by ensuring that standard logistics and stores and related administrative systems are established and implemented as outlined by LWF guidelines, relevant donor regulations and legal statutes. The position is based in Kismayu, Somalia but will involve travels within the field/area programs both in Kismayu and Dhobley

      KEY RESPONSIBILITIES

      Asset and Inventory Management

      • Ensure proper management of assets and inventory in Somalia (Dhobley & Kismayu)
      • Maintain specific donor asset registers using donor agreements.
      • Ensure all assets are safeguarded through asset tagging. This keeping records of asset requisition and hand over forms and returns for use by staff and ensuring that they are adhered to.
      • Oversee, orient and supervise stores/inventory management staff.
      • Implement standardized store/ warehouse management procedures, guidelines and processes.
      • Manage the process of assets disposal for Somalia with guidance from management.
      • Ensure efficient asset and inventory management systems are in place and that all procured and delivered items are accounted for and quality/quantity controlled in stock reports and asset inventory management system.
      • Maintain and update the consolidated fixed asset register and facilitate the annual and bi-annual physical asset verification exercises.
      • Ensure the schedule for annual insurance of assets has been updated and presented timely for approval and payment.

      Warehouse and Logistics

      • Effectively receive/dispatch commodities against official approved documentation (e.g. waybills and/or delivery notes) ensuring accuracy in physical count of commodities including the quality in compliance with the established standards.
      • Prepare, verify, and sign off warehouse and transport documents, and maintain confidential files and accurate warehouse transaction records to ensure immediate reporting on commodity movements in line with the SOPs requirements.
      • Conduct daily warehouse closing reconciliation and accurate inventory checks supporting internal control systems in compliance with the warehouse management requirements.
      • Perform daily inspections and prepare reports on the quantity and quality of the commodities received/dispatched and handled, detect promptly, and analyze reasons for stock discrepancies/damages, investigate missing quantity and prepare warehouse loss reports recommending appropriate solutions, to enable informed decision-making.
      • Implement appropriate measures to safeguard food and non-food commodities, to ensure quality control using standard preventive measures in line with LWF established procedures and authorization received from the supervisor.
      • Monitor condition of the warehouse and commodities and take appropriate actions, to support efficient warehouse space-planning and well-organized commodity storage following LWF warehouse standards.
      • Ensure maximized efficient vehicle operation and travel demand management
      • Overall vehicle operations planning, allocation of vehicles to LWF authorized drivers
      • Preparation of monthly and periodic fleet management reports in a timely manner and generation of monthly effective efficiency reports in accordance with LWF vehicle management policy.
      • Ensure proper maintenance of all vehicles records, and other office documentation
      • Plan and organize for cost effective vehicle repairs, recommended service and maintenance schedules.
      • Supervise project drivers while providing workforce training development, coaching and discipline.
      • Undertake the mid-year and annual appraisal of drivers
      • Preparation of drivers annual plans in line with the organization policies
      • Ensure the necessary vehicle legislation requirements are up-to-date in accordance with the traffic Act and by facilitating renewal of vehicle insurance covers, Government inspection, TLB and other road licenses.

      QUALIFICATIONS AND EXPERIENCE

      • Diploma in logistics, supply chain management, or a related field.
      • Proven 3 years and above experience in logistics and supply chain management, preferably in humanitarian or development programs.
      • Familiarity with procurement processes and supply chain best practices.
      • Strong organizational and problem-solving skills.
      • Proficiency in logistics software and tools.
      • Excellent communication and team collaboration abilities.
      • Ability to work under pressure.
