- Process financial grants for United Bible Societies (UBS) as directed by the Operations Manager by entering grant pledges and expressions of interest into the UBS Solomon system.
- Process direct grant payments to partners outside of the UBS Fellowship:
- Preparation of payment documentation including supporting documentation and vendor forms.
- Obtain designated signatures in accordance with American Bible Society (ABS) Signature Authority Policy.
- Key payments into Kwiktag system/Enterprise Resource Planning (ERP) system for processing by Finance.
- Assist the Operations Manager in monitoring financial performance of Ministry Partnerships teams through budget vs actual reports generated by Finance.
- Research expenses/credits on monthly UBS live report and facilitate department/sub department billing.
- Identify, research, and report to Operations Manager on financial variances and factors that influence each area’s financial performance.
- Upon request, evaluate Ministry Partnerships (MP) budget for budget efficiencies
- Work with Operations Manager in the processing of non-grant payments/invoices. This includes:
- Preparation of payment documentation including supporting documentation and vendor forms.
- Obtaining designated signatures in accordance with ABS Signature Authority Policy.
- Key payments into Kwiktag system/ERP system for processing by Accounts Payable.
- Under the direction and supervision of Senior Director of Finance Planning and Analysis (FP&A) and Operations Manager, assist with the development of the Ministry. Partnerships annual budget and revised budget for assigned ministry areas.
- Update departmental budget-templates for assigned areas in FP&A’s Vena tool or ERP as directed by Senior Director of FP&A.
- Solomon project database and Blackbaud/SalesForce CRM research as assigned.
- Participate in weekly gift review meetings.
- Special projects as assigned by Operations Manager.

- Undergraduate degree required
- 5+ years of administration experience with a demonstrated successful outcomes.
- Experience with bookkeeping, creating budgets, proposals, and reports a plus
- Proficiency in all MS Office applications: Office 365 suite including Excel, Word, PowerPoint, Teams

JOB PURPOSE:
The Operations Associate is responsible for providing support to the Strategic Operations Manager in the areas of Global Grant management, financial commitments through pledging, monthly financial reviews, invoice/payment management, and budget planning for Ministry Partnerships. She/He will assist in ensuring alignment and compliance of Ministry Partnerships operations to ABS policies and procedures by way of training, communication, and support.
