      Duties and Responsibilities

      • *Provide support to department students and personnel.
      • *Serve as primary contact for undergraduate students regarding course offerings, declaration of major and minor, degree requirements, and program forms.
      • *Maintain databases and provide reports of course and instructional data.
      • *Receive, process, and file forms and documents for undergraduate and graduate students. Create and maintain systems to track and archive copies of forms.
      • *Assist Department Chair with course scheduling, classroom changes, and processing revisions to course schedules.
      • *Respond to faculty queries regarding instructional formats, scheduling, equipment, and other matters.
      • *Assist faculty with preparation of instructional materials, waiting lists, and overrides.
      • *Produce and distribute course descriptions booklet every semester prior to registration.
      • *Provide support and instruction for faculty and staff in the use of academic and administrative systems such as MyUH Portal, Laulima, listservs, video conferencing platforms, and online bookstore system.
      • *Assist faculty with setting up computers and peripherals for instructional use.
      • *Assign teaching assistants to sections and submit grading proxy form to registrar. Provide schedule, TA Handbook, and other materials to teaching assistants prior to semester.
      • *Serve as graduate program assistant and liaison with Graduate Division.
      • *Provide support for graduate student exams and committee meetings.
      • *Assist with updates to Graduate Student Handbook and graduate program forms.
      • *Assist with graduate admissions, including application processing and tracking.
      • *Assist Graduate Chair with allocation and tracking of achievement scholarship, departmental awards, and other financial support.
      • *Maintain the department website by soliciting information, posting announcements, and keeping information current.
      • *Assist with creating and posting content to departmental social media accounts.
      • *Help maintain operating hours schedule and policies of the History office, lounge, mailroom, meeting rooms, and other departmental spaces.
      • *Provide information and assistance to visitors.
      • Other duties as assigned.

      Minimum Qualifications
      1. Possession of a baccalaureate degree in Business Administration, Education, Arts and Sciences or related field and 0 year(s) of progressively responsible professional experience with responsibilities for business management or student services; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
      2. Functional knowledge of principles, practices and techniques in the area of database and web design and business management demonstrated by knowledge, understanding and ability to apply concepts, terminology.
      3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with data or business management and/or student services.
      4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of data or business management and/or student services.
      5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
      6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
      7. Demonstrated ability to operate a personal computer and apply word processing software.
      8. Ability to establish and maintain effective working relationships with students, faculty, and staff.
      9. Demonstrated ability to work collaboratively, and communicate effectively with individuals with diverse demographic populations and cultures.
      10. Demonstrated ability to manage and organize data that facilitates tracking, analysis, and sharing.


      Desirable Qualifications
      1. Experience and knowledge of UHM academic programs such as Banner, STAR, and UH Portal.
      2. Knowledge of UHM academic and registration policies and procedures.
      3. Familiarity with website content management systems such as WordPress
