Provide Administrative Support: Assist caseworkers and unit supervisors with various administrative tasks and maintain order in the lobby area, adhering to office policies.
Coordinate and Offer Customer Service: Answer phone calls, address inquiries, coordinate schedules, and direct individuals to appropriate services, resources, and community partners.
Manage Documents: Ensure compliance with State and Federal laws by overseeing the timely production of payments, maintaining policy compliance, and handling forms and letters in line with ODHS policies.
Perform Administrative Tasks: Handle a high volume of paperwork and electronic data entry, including filing documents, closing and transferring cases, creating case and assessment files, and managing personnel records.
Process Legal Documents: Manage and process legal documents according to agency policy.
Provide Culturally Sensitive Services: Deliver services that respect and accommodate the diverse backgrounds and needs of individuals and communities.
Manage Fleet Vehicles: Assist with all duties relating to the fleet vehicles.
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
An associate degree in any field; OR
An equivalent combination of education and experience.
Experience working in a reception role that includes managing paperwork, multi-line phone systems, office equipment, and interacting with clients, visitors, and colleagues.
Experience explaining rules, regulations and procedures for a program or service.
Experience with computers including processing, entering, and verifying detailed data.
Experience communicating with and resolving conflicts or disputes with clients or customers of Diverse populations.
Experience completing tasks that demands meticulous attention to detail.
Experience taking initiative and coming up with creative solutions.
Experience being intuitive, objective, and thorough.
Experience in using Adobe Acrobat to redact sensitive information from PDF documents.
Your work will be conducted in the office during training and trial services.
Occasional travel is required for attending meetings, trainings, and other role related activities.
Employee will work a professional work week; hours of work may fluctuate based on service needs. Occasional, compensated overtime may be required, including evening and weekend work.
You may come into contact with individuals who have experienced trauma and have difficulty controlling their emotions.
You may encounter stressful situations that will require quick decision-making skills.
This position requires sitting or standing at a terminal and using a computer and telephone for prolonged periods of the workday.
This position will be in an office environment where frequent interruptions may take place, you will need to be able to set boundaries and prioritize work accordingly.

The Oregon Department of Human Services does not offer visa sponsorship. Finalists must be cleared by the FBI Criminal Justice Information Services (CJIS) through a fingerprint-based criminal records check.
A valid driver’s license and acceptable driving record are required for this position.
