- Perform senior level legal secretary work for the Office of Legal Services internal customers, to include staff attorneys, senior attorneys, coordinators, supervisors, and investigators.
- Prepare documents and correspondence for legal proceedings and for use in the office environment. Proofread, edit, format, and prepare documents in accordance with TCEQ Accessibility Guidelines and other requirements. Organize documents and correspondence for mailings and filings with governmental entities; file document with governmental entities; mail, fax, and hand-deliver documents; and transcribe audio proceedings.
- Lead and coordinate special projects for supervisor. Prepare work coverage calendars, coordinate workflow, coordinate training for administrative and legal secretary staff, and serve as point of contact for supervisory support when supervisor is unavailable to include coordination of leave time. Conduct peer reviews and quality checks, creates, maintain and review instructional information, secretarial manuals and/or handouts. Train and mentor administrative and secretarial staff and assist with the hiring process.
- Maintain databases; track information; and compile technical data for reports, correspondence, and legal documents. Obtain reports from databases.
- Organize, assemble, and maintain cases, notebooks, files, and records. Develop, organize, and maintain electronic and hard copy filing systems. Scan and photocopy information.
- Perform special functions which may include scheduling meetings; maintaining calendars; reserving meeting facilities; answering phones including the OLS reception phone; coordinating travel arrangements and preparing agency travel forms; and logging pending and completed assignments.
