- Accurately enter and maintain data in data management as utilized by the MHSU Care Coordination Department – TCL Team
- Transitions to Community Living Data Processing and Tracking, including, but not limited to:
- Process, file, and maintain TCL referrals, and TCL Database maintenance
- Maintain monthly data for reports as directed
- Maintain TCL-DOJ tags in alpha/ Tru-care
- Faxcore
- Provide administrative support functions including, but not limited to copying, filing, mailing; ordering supplies; screening calls and visitors; planning and arranging for the maintenance and preparation of information needed for departmental/unit reports; and other administrative duties
- Other time is devoted to office support/procedural tasks such as, screening and routing materials based on content; providing receptionist and telephone services; providing typing and proofreading services; facilitating the flow of work through the unit; and related activities
- Works closely with TCL Director on timely review and submission of subsidy paperwork. Trouble shooting approvals with TCL staff and DHHS staff.
- Calculate member prorates and submit to TCL finance.
- Performs TCL housing hold fees request revisions entry and submissions to finance.
- Performs reviews and corrections of CLA prior to monthly submissions to finance.
- Review and report of member rent change/updates, to also include review of move in and move out, rehouses, and MCO transfers. Updates to state data bases and reporting out subsidy changes to finance.
- Works closely with TCL Housing Coordinators around time frames for housing inspection completions and outcomes.
- Prompt review and submission of IPS SE referrals. Facilitates IPS provider referrals calls to identify and report barriers to member initial engagement and continued engagement to TCL staff and TCL Supported Employment Coordinator.
- Participation on IPS SE internal and external workgroups.
- Prompt review of claims data to assist TCL Leadership in verification of Provider IPS SE TCL incentives
- Provide IPS referral data to TCL Leadership upon request
- Timely submission of Special Assistance In Home. Collaborates with TCL staff, DSS, and providers to gather documents needed for submission. Works closely with TCL Leadership to trouble shoot barriers to submission.
- Act as liaison with facilities management for building/maintenance issues
- Monitor business equipment for maintenance needed
- Coordinate agenda for department & regional team meetings and other assigned committees/department meetings and production of minutes and documentation maintenance for the committees
- Position will serve as part of the team to provide back up for front desk coverage
- Uploading and filing documents
- Correspondence/memo writing
- Creating and updating Excel spreadsheets, and other documents as needed
- Recording meeting minutes
- Reports which may require independent research
- Making arrangements for conferences and meetings
- Planning and arranging for the maintenance and preparation of information needed for various meetings and presentations
- Work with the TCL Clinical Director or designee to compile and analyze special projects
- Considerable knowledge of office practices, techniques and technology sufficient to support the program
- Knowledge of the MHSU/ IDD system and terminology
- Excellent communication and grammar skills utilizing accuracy and attention to detail
- Excellent computer skills and proficiency in Microsoft Office products (Word, Excel, Outlook)
- Ability to operate general office equipment (copier, switchboard, postage meter, fax machine)
- Ability to gather information and produce reports
- Ability to establish and maintain effective interpersonal relationships
- Ability to analyze and interpret policy and procedural guidelines
- Ability to organize workflow and coordinate activities
- Ability to effectively problem-solve
- Ability to recognize sensitive or unusual situations that should be referred to another more appropriate staff member or to the supervisor
- Ability to manage and uphold integrity and confidentiality of sensitive data

Primary Purpose of Position: This position will provide administrative and office/procedural support to the Transitions to Community Living unit by relieving the department of routine office tasks. This position will also provide departmental support by creating, maintaining, and/or distributing reports, spreadsheets and databases.
Role and Responsibilities:
75% MHSU Care Coordination Department Support – Transitions to Community Living (TCL) Team:
This workload will vary with different project assignments and will require in person meetings.
MHSU Care Coordination Administrative & Leadership Team Support:
Functions include but not limited to:
5% Other related projects and duties as assigned
Complete other supportive duties as assigned by supervisor.
Knowledge, Skills and Abilities:
Education/Experience Required: High School graduate or equivalent and two (2) years of administrative support experience; or an equivalent combination of training and experience.
Education and Experience Preferred: Office administration experience within an agency providing or managing MHSU/DD services.
