Job Description

- Manage the support@thermagreen email account – promptly responding to customer inquiries.
- Answer main phone line and offer exceptional customer service.
- Help distribute submittals, product data and samples for approval by client (including, at times, the cutting, packaging and shipping of samples).
- Coordinates with manufacturing, logistics and client to ensure the materials are delivered on time, and communicating delays to customer (if applicable).
- Create and follow up on Order Acknowledgements, Purchase Orders and Invoices.
- Receive material into inventory and ensure physical inventory matches system.
- Maintain detailed and current knowledge of products.
- Proactively follow up on quotes / leads and update Salesforce accordingly (preferably via telephone)
- Build strong relationships with both customers and manufacturing partners, via both email and phone.
- Maintain database (Salesforce, CRM, Excel, etc.…) of prospective client info / project info / opportunities and leads.
- Be available to attend tradeshows and seminars to promote the company and the products.
- Source new vendors and materials, as needed
- Coordinate product testing.
- Keep accurate records of Open Orders, and continually update project schedule.
- Follow up with customers on old invoices – helping accounting with collections, as required.
- Manage orders sent to third party manufacturing partners.
- Source new raw foam vendors, and coordinating samples.
- Help source cheaper materials, parts and vendors.
- Help production team, as required.
- Manage inventory levels and order office supplies.
- Perform other administrative tasks, as required.

This role is responsible for overseeing and leading the Sales Admin function, as well as providing sales support and exceptional customer service. Ensures that customer requests are dealt with accurately and in a timely manner, as well as staying abreast of inventory levels and production schedules.
