Serve as a first point of contact for prospective students, parents, faculty, and the general public.
Obtain and maintain proficiency in all relevant college platforms and systems. Attend training and update skills as needed.
Understand and utilize academic affairs standard operating procedures while carrying out all work duties.
Participate in the development and revision of standard operating procedures and guidelines.
Liaise with other college offices and support services as necessary.
Utilize internal and external database systems. Run reports, enter and validate data; identify issues; propose potential solutions.
Maintain program files and archives. Maintain program assessments.
Attend program meetings and take notes.
Process purchase requisitions for instructional/studio materials, supplies, vendors, independent contractors, models, and speaker fees.
Other duties/special projects as assigned by the senior director.
Manage program and project budgets as assigned.
Assist with revenue projections and profit/loss accounting for programs, including program budget summaries.
Gather and prepare analytical information for the annual budget proposal process, in concert with the assistant and senior director.
Lead or assist in logistical planning and implementation for virtual and in person courses and events in collaboration with colleagues.
Support program instructors with onsite program curriculum delivery and oversee event management for year-round evening/weekend, and weekday summer programs and classes on campus.
Monitor course enrollments, communicates with instructors regarding course status, facilities, students, and course evaluations.
Solve for recurrent course scheduling issues and conflicts (i.e. faculty assignments, rooms, days/times). Coordinate with college partners as needed.
Analyze and track student experience to inform course schedule planning and recruitment strategies.
Works with Facilities & Operations, Technology Services, and Studio Operations to coordinate course/program use of rooms across campus. Oversees course and program preparation with Studio Operations, Media Center, and Public Safety as required.
Compiles enrollment, demographic, and budget summaries for Pre-College and non-credit youth programs.
Performs additional program duties as assigned by the assistant and senior director.
Collaborates with the Enrollment Management and Marketing & Communications offices to maximize enrollment for Pre-College.
Attend National Portfolio Day and conduct site visits to local schools.
Maintain program and course pages on CCA Portal and liaise with colleagues for program pages on CCA.edu.
Maintain email lists, google groups (faculty, students, alumni, parents, community partners etc.) for respective programs.
Support with program communications, recruiting efforts and marketing strategies via site visits, email, web, print, and social media.
Partner with associates and designers for program-based marketing and communications collateral.
Research competitive programming and recommend program marketing enhancements to the marketing associate and senior director.
Support assistant director and senior director with external partnerships and school relationships.
Recruit, hire, train, and supervise temporary staff and work study students.
Provide administrative support and facilitate student and instructor on-boarding, approve timesheets, problem solve as needed with Financial Aid and Human Resources.
Two years of administrative experience at an education or nonprofit organization, or other similar environment.
Bachelor’s degree.
Excellent written and verbal/interpersonal skills.
Excellent organizational and time management skills; competent with multi-tasking, prioritizing, and sustaining focus amidst frequent interruptions.
Ability to follow directions with minimum oversight and work independently as needed.
Ability to exercise sound judgment, resolve diverse problems, and handle sensitive matters with confidentiality.
Experience with customer service, cross-functional teamwork, and asynchronous collaboration.
Competence in MS Office Suite, Adobe Creative Suite, Google Apps, and data entry required.
Experience at cultural or educational art and design institutions, including two or more years work experience with youth and parents.
Master’s degree preferred with preference for one of the areas represented at CCA.
Experience with a student information system (SIS), e.g. Colleague, Banner, Workday.
Experience with website editing and social media platforms in a business context.
The compensation for this position is $29.87/hour
CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents. CCA considers a full-time work week to be 37.5 hours per week.

This position is covered under the staff union collective bargaining agreement and will be required to contribute to union dues/agency fees.

The Youth Programs & Continuing Education (YPCE) division at California College of the Arts (CCA) offers year-round programming for adults and youth with a wide range of noncredit and credit programs in art, design, digital tools, architecture, and writing. Middle and high school students explore art and design in a college setting through our distinctive summer programming and weekend courses, including the for-credit summer Pre-College program, a Young Artist Studio Program (YASP), and the Summer Atelier program for ninth and tenth graders. YPCE also serves as the California Bay Area regional affiliate of the and organizer of the Scholastic Art Awards, a national juried competition and exhibition for middle and high school students. CCA Extension offers adult classes that allow interested amateurs, working professionals, and practicing artists and designers to explore new disciplines, learn new mediums, and refresh their existing art and design skills. YPCE also administers the study abroad travel studios and seminars for CCA degree-seeking students in partnership with academic programs.
With the Fall 2024 opening of the unified CCA campus in San Francisco, the YPCE programs serve as an important public-facing division of Academic Affairs, and will continue to expand with new noncredit and credit programs in our portfolio. Our programs showcase the CCA experience to a broader audience and expand the college’s signature areas of expertise with the larger creative communities in the San Francisco Bay Area and beyond.
The Program Manager (PM) is part of a dynamic administrative team that supports the day-to-day operations and planning of the college’s extended education programs for youth and adults. Under the supervision of the Senior Director of Youth Programs and Continuing Education, the PM works with instructors and staff to coordinate recruitment, programs planning, oversee programs production, and provide dedicated project management for the YPCE division. The PM serves as a key liaison between academic and administrative departments at the college and collaborates with other program staff to ensure curriculum delivery and overall programs success. This position focuses on comprehensive program management for CCA Pre-College and supports all youth programs in close collaboration with the YPCE staff team. Special focus areas for Pre-College include coordinating the outreach, recruitment, and admissions processes as well as leading onsite program management in collaboration with Academic Affairs, Auxiliary Services, Business Services, Campus Life, Enrollment Management, Facilities, Marketing & Communications, Residential Education, Studio Operations, and other key college partners. This position oversees the Bay Area regional affiliation for the national Scholastic Art Awards, an annual juried competition which culminates in an exhibition and celebration event each spring semester. Program offerings may shift depending on the needs of the division and college.
