      Responsibilities

      • With the direction of the Director of Public Programs and the Director of the Indianapolis Museum of Art, set SMART (Specific, Measurable, Achievable, Relevant & Time-Bound) goals for theater and performance-based public program offerings in alignment with institutional priorities and values that support the Indianapolis Museum of Art, The Garden, Fairbanks Park and local performing arts organizations
      • Within the Public Programs & Education department, manage theater (Tobias Theater, DeBoest Lecture Hall, The Amphitheater) engagements within the Tripleseat booking system. Communicate out and represent these engagements at Calendar Planning meetings and across departments to ensure a balanced calendar of events, resources are secured for engagements and information is disseminated in a timely fashion.
      • Make connections to permanent collection (including the living collection) and special exhibitions, by actively engage local artists, community organizations and performers as both content creators and participants in public programs. Maintain existing relationships and cultivate new relationships as staffing allows, to ensure consistent, thoughtful engagement and communication.
      • Train on all aspects of the institutional and department budgeting and contract process. Support the Public Programs Administrative Coordinator, legal and finance teams through timely, accurate budget planning, procurement, invoicing and receipts.
      • Coordinate theater-based partnerships and residencies. Track/Monitor agreement deadlines, ensuring all impacted departments (Marketing, Finance, Technical Productions, Culinary Arts, Security, Guest Experience, Volunteerism) and clients are providing and receiving necessary information for a successful engagement. Act as the on-site representative of Newfield’s Public Programs team for partnership and residency dates.
      • Document and maintain theater (Tobias Theater, DeBoest Lecture Hall, The Amphitheater) standard operating procedures for internal departments and external partner and client use. Submit and ensure completion of work orders as needed for repairs and improvements to guest-facing and performer-facing (i.e. not technical equipment) areas.
      • Support the Public Programs team as needed to include program preparation and staffing on nights, weekends, holidays and offsite experiences.

                  Required Skills

                  • Proficiency in Microsoft Office, with a strong understanding of Excel, and other software commonly used at Newfields; and a willingness to learn new software programs as needed.
                  • Strong writing skills: ability to draft clear, original correspondence for internal communication as well as program copy for Newfields’ publications and marketing.
                  • Ability to effectively present information in one-on-one, small group situations to donors and employees and to large groups in a program setting.
                  • Strong attention to detail, problem solving ability and organizational skills. Ability to coordinate multiple tasks, meet defined deadlines and follow-up with assigned tasks.
                  • Basic familiarity with Newfields’ permanent collection and special exhibitions. working theater facilities.
                  • Mathematical Skills – Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, decimals, and percentages.
                  • Reasoning Ability – Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
                  • Other Skills and Abilities – Exceptional interpersonal skills. Basic understanding of public relations fundamentals and demonstrated experience working as part of a team.

                  Educations and/or Experience

                  • High School Diploma and 4 years of program experience or bachelor’s degree and 2 years of program experience required.

This position will have a dedicated work station in a shared work space without windows, as well as a mobile work station for program days.
