      Main Purpose:

      The purpose of the job is to interface with 3PL partners and Internal Accounting Teams with regards to the Transporter Invoice processing. In addition to this the incumbent will provide general Transport Team administration support. The goal is to ensure Invoicing is actioned in accordance with PE guidelines and that Administrative tasks are managed in a timely manner. Problems to be escalated to Transport Manager for resolution.
      Scope:
      • Primary and secondary transport: Bulk Petroleum & LPG, Packaged Lubricants & LPG products by means of road transport
      • General logistics support in terms of supporting the PE Transport team in administrative tasks

      Knowledge Skills and Abilities, Key Responsibilities:

      KEY RESPONSIBILITIES:

      Accounts Payable

      Goals: Ensure transporters invoices are correct and paid on time

      Performing day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables' data

      • Check & Issue Freight Billing Advice (weekly) to 3PL partners to enable 3PL’s to Invoice PE PNG for transport services provided
      • Monitor, reconcile and approve uploaded cartage invoices for both Delivery and CIF mode in Kissflow with less aged tickets.
      • Ensure all carriers’ payment database is updated and shared with Finance & Operations (Transport & Ops admin) team
      • Liaise and work with the terminals (admin clerks, stocks & dispatchers) to update (post loads for billing cut off period) and verify loads
      • Liaise and work closely with the AP team to ensure carriers SOA is at current
      • Provide EOM updates to finance team regarding each carrier’s account status - both in NGR & NGE
      • Ensure all carrier rates in all locations are updated in the system
      • Keep record of all freight quotations (spot)
      • Maintain records of monthly transporter payments and volumes

      Management Information

      Goals: Provide accurate management information to PE PNG Transport Manager

      Key responsibilities:

      • Prepare monthly Logistics KPI reports
      • Setup electronic transport reports as requested
      • Extract and provide ad hoc data / information as requested

      Management Administration

      • Manage the PE PNG Master Data task including maintaining central electronic files
      • Coordinate the transport team performance KPI reporting
      • Other duties as directed

      SKILSS & COMPETENCIES:

      Education:

      • Relevant degree / Diploma/ Certificate or relevant accounts payable & administrative experience

      Experience:

      • A minimum of 2 years Accounts Payable experience (Road Transport in the Oil Industry an advantage)
      • Experience in working with 3rd Party Contractors an advantage
